Norseman Structures is looking to add a Fiercely Reliable Receptionist to our team

Reporting to the Human Resource manager, The Receptionist is responsible for completing office administrative duties including greeting and screening visitors, answering inbound calls from the main reception line, maintaining office supplies and coordinating travel arrangements. Other administrative support may be required from time to time.

Receptionist Responsibilities

  • Answer the inbound main reception line and direct calls appropriately
  • Receive and distribute mail, interoffice mail and courier packages
  • Prepare and send mail, courier packages and interoffice mail
  • Greet and screen visitors as they arrive at the facility. Ensure that visitors sign in and out in accordance with current procedures.
  • Maintain/order company office and coffee supplies while keeping within budget
  • Make travel arrangements as required and distribute travel confirmations or other information to the appropriate team member
  • Provide administrative support to various individuals in our organization including creating letters, spreadsheets and presentations, scanning documents, filing, etc. as required.
  • Act as back up to our Customer Service team members as required
  • Coordinate and organize social gatherings and lunch and learns (both on and off site) including meal arrangements, facility arrangements, etc.
  • Other duties as required.

Receptionist Requirements

  • Completion of an administrative assistant diploma coupled with 1 year of reception or office assistant experience
  • Knowledge of general office procedures regarding email and telephone etiquette, travel arrangements and office supply procurement
  • Ability to be proactive and offer to support others in the office as required
  • Strong knowledge of Microsoft Office products including Outlook, Excel, Word and PowerPoint.
  • Excellent written and verbal communication skills
  • Strong customer service orientation to both internal customers and external customers
