Salary Minimum $55,000 a year (inclusive of office fees), plus commissions and bonuses

Our company is one of the top teams in the industry and currently in a growth mode. We have a private office in Coal Harbour, elegantly designed, and only for the use of our teams. We are currently seeking a Full-Time Licenced Executive Assistant. The Executive Assistant (“EA”) role is crucial to the success of the Team, and the Company as a whole. The EA includes a broad variety of administrative tasks that facilitate the Principal/Team Leader’s ability to effectively lead the organization.

The EA role is responsible for providing comprehensive support to both the Principal/Team Leader, and managing the organization’s office operations. The EA is a dynamic administrator, and a supportive force that empowers our Team; anticipates needs; thinks critically; and offers solutions to problems with a high level of professionalism. The Principal/Team Leader relies on the EA for flexibility and foresight, while maintaining confidences related to systems and operations, and personal information.

Key for success in the role are a strong attention to detail, previous office administrative experience, and a passion for providing excellent customer service.

COMPETENCIES & QUALIFICATIONS

The successful EA applicant has had the following experience, and/or demonstrates the following capabilities.

· Significant experience in Real Estate, minimum 2 years as a Licensed Real Estate Agent

. Significant administrative roles reporting to Executive or senior management

. Exceptional People Skills

· Exceptional written and verbal communication skills

· Highly organized, with impeccable attention to detail, in all aspects of role

· Strong time-management skills and ability to balance multiple priorities simultaneously

· Make appropriate, informed decisions regarding priorities and available time

. Proficiency with Paragon/MLS, Webforms, Docusign, and other industry required programs

· Proficiency in Microsoft Office and other office productivity tools

· Aptitude to learn new software and systems

· Flexible and adaptable team player willing to do what it takes to get the job done

· Enjoys a challenge

· Proven ability to keep company confidences

· Experience developing and maintaining internal processes and filing systems

· High degree of professionalism in dealing with diverse groups of people, including staff of all levels; clients with different background; other Real Estate professionals.

· Experienced self-starter; ability to complete a high volume of tasks with little guidance

· Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround

· Exposure to, or understanding of, human resources management

· Analytical mindset and problem-solving orientation

DUTIES & RESPONSIBILITIES

The “EA” role is responsible for all areas of support, taking on clients and managing listings, high level office management, general admin support, and special project coordination. The following provides examples of duties.

- Show properties professionally, host Open Houses, arrange tours

- Overlook and monitor the Administrative Assistant’s work to ensure all contracts and paperwork are filed and reported properly, Listings are launched properly, and Sales Reported correctly

- Overlook and monitor the Graphic Designer’s work to ensure all Advertising, Social Media presence, and Websites are in order

- Manage calendars, schedule internal and external appointments, and anticipate needs in advance of all meetings

- Track team activities through week, including activity on Listings and Buyers, and provide weekly updates to the Principal, and Clients as needed

- Coordinate internal and external communication

- With the assistance of the Administrative Assistant “AA”, Provide support for payable approvals and cheque signing, and keep payments on schedule

- With the assistance of the Administrative Assistant “AA”, Provide Word processing, Excel spreadsheets, PowerPoint as requested

- Monitor the Principal’s email and identify priority items

- Daily check-in meetings with Principal to review daily priorities

- Obtain quotes, coordinate purchases as needed, coordinate contractors, or other department contacts for special projects

- Coordinate onboarding and training for new hires, company overview and office orientation, ensuring updated info is provided and relevant employee info is received

- Coordination of small portfolio of residential rental properties, and primary contact for residential tenant communication, liaising with internal facilities and the Remax Property Management Departments as needed

- Manage other projects and duties as assigned for the overall benefit of the company

- Ensure company best practices are maintained by all

PACKAGE

This role will offer a very competitive salary commensurate with office experience, including opportunities for Commission Sharing and Bonuses based on performance qualifications. The right candidate should easily reach a six figure salary. Free parking provided.

Experience:

  • Licensed Realtor: 2 years
  • Property management: Strong Asset but not required
  • Office Administrator: Strong Asset but not required

  • Fluent English (required)
