Job Description
What you can expect in a typical day:
The Building Operations Coordinator role is an integral part of the Building Operations Team. There are two main responsibilities in the Coordinator Role.
  • The Building Operations Coordinator will act as the Building Fire Warden for the Home Office. The Building Fire Warden is a leader for fire warden team on each of the floors in the Home Office along with delivering training and updating the Fire Safety Plan.
  • The Building Operations Coordinator will manage the daily operations in our Service Now program. This role supports the coordination and execution of activities through the Building Operations Technicians and Building Operators at various facilities within our Portfolio. Interactions with contractors for scheduling, requesting safety documentations, and generating work permits would be part of the responsibilities.

Your roles and responsibilities:
  • The Building Operations Coordinator will act as the Building Fire Warden for the Home Office.
  • Ensure the Fire Safety Plan is reviewed annually and make updates as requires.
  • Provide training to the Floor Fire Wardens and Assistant Fire wardens.
  • Schedule Fire and Supervisory Drills at the Home Office along with other facilities within the Portfolio.
  • Develop a Working Knowledge of the Fire Panel and Sprinkler system at Home Office
  • Work with the Building Operations Planner to coordinate and manage exercise programs for Fire drills and evaluations.
  • Support the Building Operations team with planning and scheduling of maintenance through the Service Now program.
  • Work with the Building Operations Administrator to review maintenance schedules and assign responsibilities to the Building Operations Team members.
  • Scheduling of external resources (contractors) to complete maintenance, repairs, and investigation activities.
  • Reviewing safety documentation (Permits, JSAs, etc.) and ensuring POs are issued prior to work commencing.
  • Generate weekly, monthly, and quarterly reports from Service Now.
  • Trouble shooting and trending Service Now request to aid in the development of preventative Maintenance plans and schedules.
  • Day to Day interaction with building occupants to resolve requests and issues submitted in Service Now.
  • Attend the monthly Joint Health and Safety committee meetings.
Professional skills
  • Ability to work alone or within a team. Must be able to work with other Teams within the Irving Oil organization.
  • Generate plans for assigned tasks along with coordination with others involved in the tasks.
  • Effective oral/written communication skills are essential along with knowledge of Microsoft Office Suite programs.
  • Effective time management and planning is critical for this position.
  • Work effectively in a fast-paced team environment.
  • Able to work independently with minimal direction and able to respond quickly to emergency situations.
  • Good time management skills and ability to prioritize work in order to deliver successful results within agreed upon time frames.
  • Good judgement and decision-making skills, detail orientated and good organizational skills, positive attitude.
Travel
  • Travel is not a requirement for this position.
Education and experience
  • Experience: 2-7 years related experience
  • Previous experience in Facilities or office management would be an asset.
  • Knowledge or previous experience in emergency or fire response would be beneficial to this position.
