What will you do?

You will be working closely with the HR team to assist with day-to-day HR tasks and projects. You will have the opportunity to learn different aspects of human resources and use your recruitment experience to support recruitment efforts. You will also assist in new staff onboarding, help organize and maintain personnel records, update internal HR databases, prepare HR documentation and coordinate staff training.

Recruitment & Selection:

  • Completes full cycle recruitment process, from posting open positions, completing interviews to finalizing new hire paperwork
  • Coordinates new-hire procedures, including: organizing employee orientations, creating new employee files and ensuring all necessary paperwork is properly completed
  • Coordinates and attends career fairs, information sessions, and open houses as required

Employee Relations and Performance Management:

  • Completes check-ins with new employees and maintains a report of findings
  • Assists employees with employee relations matters
  • Fosters positive employee relations and supports HR team to resolve employee issues
  • Champions Prospect’s goals, vision, mission and brand pillars

Administration:

  • Completes exit interviews on all resigning employees
  • Make sure all employee records are filed correctly and kept confidential
  • Purges records according to company policy on an annual basis
  • Remains current with Human Resources legislation and Business-related best practices
  • Supports HR director in educating employees on and enforcing company policies
  • Maintains the company’s calendar and schedule any meetings the HR director requires
  • Abides by company enforced HR processes and current employment laws and regulations
  • Provides support with other related HR projects

Training and Development:

  • Maintains record of required employee training in HRIS system and notifies managers when re-training is required
  • Develops and leads formal and informal staff training as needed
  • Participates in non-Prospect related events such as educational seminars, industry trade shows to remain current on trends in Human Resources

Occupational Health & Safety:

  • Acts as a role model in promoting and communicating health and safety in the workplace
  • Acts as a safety committee member, where required
  • Assists in completing WCB and Alberta Blue Cross disability applications

HRIS and Information Management:

  • Enters key employee information into the HRIS for tracking and reporting purposes
  • Assists in administering payroll by: maintaining up to date employees records, completing accurate data entry into the payroll system and tracking and analyzing payroll related data
  • Enters employee data into the Alberta Blue Cross website and distributes cards to new employees
  • Completes Payroll Calendar on an annual basis and sends out to staff

What does it take to do this job?

  • Completion of post-secondary education in Human Resources, Business Administration, or a related discipline
  • Strong administrative background, preferably with some experience supporting Human Resources
  • Some recruitment experience will be considered and asset
  • Working knowledge of employment standards, human rights and privacy legislation
  • Intermediate to advanced level in Microsoft Office (Word, Outlook, PowerPoint, Excel).
  • Previous experience in other HR applications (HRIS, ATS, database management, record keeping, payroll software) are considered assets
  • Solid communication, facilitation and interpersonal skills and experience of working with broad range of people and groups
  • Demonstrated ability to work in a confidential environment and handle highly sensitive information
  • Integrity, respect and solutions focused with genuine interest in contributing to an inclusive, diverse workplace
  • Highly organized, efficient, positive and personable
  • Excellent collaborator and attentive listener
  • Able to follow directions accurately
  • Willing to take initiative and work independently when needed
