Job Summary
The Administrative Coordinator is responsible for wide-ranging administrative functions in support of teaching, research, undergraduate and honours programs for the Department of French, which includes the Italian Studies program, to ensure excellent services in support of the Chair and the Department.

Key Responsibilities
  • Ensure the efficient daily operation of department office and serve as the first point of contact for all department related matters.
  • Support the Chair with the preparation of the annual department budget; monitor and reconcile expenses on a monthly basis to ensure compliance with budget plan; investigate discrepancies and variances for operating account; provide support for annual givings, endowment and research accounts affiliated with the department. Assist with the preparation of various financial forms.
  • Prepare personnel and payroll forms for faculty, staff, part-time instructors, graduate students, research assistants, post-doctoral fellows, and student assistants.
  • Assist in the preparation of the academic timetable; make recommendations to the Chair regarding scheduling, course rotation, and individual assignments; liaise with faculty members with regard to course assignment preferences and restrictions; liaise with the Registrar’s Office to resolve timetable issues.
  • Assist students with inquiries, directing them to the instructor(s) concerned or to the Undergraduate Coordinator as appropriate.
  • Coordinate Study Abroad Programs, providing support to students from application to verifying and approving co-curricular record requests for returning study abroad participants.

Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.

Required Qualifications
  • Business/Office Administration diploma with three to five years’ related experience (or equivalent combination of training and experience).
  • The ability to speak, write and read French.
  • Experience with administrative functions including financial processes, budget monitoring, and office communications.
  • Excellent client service skills are vital to this role.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Acrobat Reader, and web-based administrative systems and office technologies.

Assets
  • Undergraduate degree.
  • Experience working in a post-secondary setting.
  • Basic understanding of project management.
