About the Role


The Accommodated Exam Scheduler is accountable for accurately and efficiently scheduling upwards of 5000 exams per semester while maintaining exam integrity and communicating effectively with the Exam Facilitator, students, faculty, and Access and Inclusion Services Staff. The incumbent must be well versed in the diversity of exam accommodations for students who identify as belonging to one of the protected categories as defined by the Alberta Human Rights Act. As a first point of contact with students and faculty, the Accommodated Exam Scheduler requires a high level of customer service and communication skills to evaluate customer needs and facilitate accommodated exam writing while ensuring exam integrity. The incumbent will assist with invigilation of midterm exams (including tests and quizzes) and will assist with the invigilation of accommodated final exams. This includes but is not limited to: seating’s, proctoring, electronic monitoring, and exam troubleshooting. The incumbent will possess the ability to transition seamlessly between these customer service-based tasks and administrative scheduling duties.

This is a permanent full-time role working Monday to Friday, 7 hours per day.


Responsibilities:


  • Accurately schedule a high volume of accommodated exams while simultaneously working in a fast-paced front facing office,
  • Assist with invigilation of midterm exams, tests, quizzes, and the delivery of the accommodated final exam service working directly alongside the Exam Facilitator,
  • Sort, review, and prioritize exam booking requests to ensure the timely processing of request approvals,
  • Communicate the accommodated exam process with accuracy, caring, and respect to all MRU stakeholders,
  • Send notifications regarding exam booking request deadlines, release of final exam schedule, and booking request deadline reminders, and late booking request procedures.
  • Maintain emails, exam books, scheduling software, and track student specific scheduling needs on a day-to-day basis,
  • Effectively triage and respond to customer needs in order to provide effective and confidential front-line service to Access and Inclusion Services’ diverse clientele,
  • Provide exceptional support for delivery of integrated front counter services by cross training with the front desk team including the Accommodated Exam Facilitator and the Administrative Assistant,
  • Communicate effectively to a wide range of stakeholders including the Exam Facilitator, students, faculty, and Access and Inclusion Services staff in person, over the phone, and through email as required.

Qualifications:

  • Minimum 2-year diploma from a university or equivalent; degree preferred
  • 12 – 18 months of directly relevant experience is required
  • And/or equivalent education and experience
  • Post-Secondary customer service experience desired
  • Demonstrated experience working calmly in a fast-paced high stress environment
  • Experience providing services to students who identify as belonging to one of the protected categories as defined by the Alberta Human Rights Act at a Post-Secondary level
  • Exceptional attention to detail and accuracy
  • Strong pattern recognition and puzzle solving ability required
  • Ability to learn quickly and work both independently and within a team
  • Ability to effectively multitask, work under pressure with distraction, and meet deadlines while maintaining confidentiality, and accuracy
  • Demonstrate advanced critical thinking, problem solving, flexibility, and independent decision making skills
  • High level of customer service, organizational, and problem solving skills
  • Computer skills: highly proficient with MS Office (including excel and work), Google Suite; with required familiarity in Google Spreadsheets, and the ability to learn new software and database programs
  • Genuine passion for student wellness and post-secondary education
