The WIL Support Officer is a part of the Work-Integrated Learning (WIL) team with the goal to provide student-centered, holistic proactive service to Conestoga students, staff and faculty. This high-quality customer service includes all stakeholders of Work-Integrated Learning in person, by phone and on-line. Specifically, this includes the provision of services and problem resolution to students and host organizations and WIL staff, management of student and host organization data, maintenance of records, and the collection and organization of accurate and complete data to support the preparation of reports. The incumbent along with the other WIL Field Placement Associates, is primarily responsible for coordinating the WIL placement cycle, working with students, host organizations and Conestoga colleagues as well as managing relationships with existing host organizations.

Successful candidates will be required to conduct work within Ontario and must be available to work on campus as required. It is anticipated that this position will meet the needs of the department through a hybrid work arrangement with 2 days on-site, and 3 days remote.

Responsibilities:

  • Ensuring data is entered accurately and in accordance with policies and procedures and that all information is accurately reflected in MyCareer in a timely manner to ensure other business processes run smoothly (WSIB and insurance reporting, placing students)
  • Entering data of host organization information and WIL placement opportunities in co-operation with Field Placement Officers and Portal Coordinator
  • Providing quality customer service via host organization follow-up to improve securing placement opportunities
  • Coordinating on and off-campus interview schedules for WIL students
  • Coordinating job offers to students, confirming acceptance with host organizations, and recording/placing students in MyCareer
  • Ensuring accurate data is available for WIL status reporting semester by semester
  • running reports/creating databases to show student engagement in the search/application/interest process, to identify placed vs. unplaced students, open and close opportunities, and identify organizations by program
  • Creating questionnaires and work-flows to support ranking opportunities in the experiential module and time tracking for students to enter placement hours
  • Supporting online performance evaluation surveys, and other WIL reporting for Field Placement Officers, faculty, and the Associate Director
  • Supporting students and host organizations to navigate the MyCareer experiential module, posting and facilitating application process
  • Reporting technical issues to the Portal Coordinator or Associate Director and assist host organizations and students with the resolution of technical problems
  • Ensuring field placements remain open for student edit and instructing students on using the student experiential record (SER)
  • Promoting the SER and assist with technical, program, and publishing issues
  • Collaborating with the Field Placement Officers and Marketing & Communications Coordinator to develop strategies to promote Conestoga’s programs to host organizations
  • Participates in and facilitates cross-functional training as required and remains current on service parameters and referral pathways for students requiring services beyond the scope of those provided by their primary department team/service area
  • In the absence of other specialists, provides information to faculty, staff, students, and occasionally host organizations or other visitors on a broad array of Conestoga tools and resources such as: the MyCareer job portal, online academic and wellness resources etc.


Qualifications:

  • Two-year Diploma in Business/Office Administration, Human Resources Certificate, or related administrative field
  • Three years of work experience in a high-volume office environment; Preferably in a student services or employment services setting
  • Experience in a customer service role
  • Excellent organizational skills
  • Excellent communication (verbal and written) and interpersonal skills
  • High level of computer literacy and experience with databases, contact management systems, web-based systems, and MS office
  • Knowledge of Conestoga programs
  • Tact and diplomacy
  • Problem-solving skills
  • Ability to multi-task and handle a high volume of activity with conflicting deadlines
  • Accuracy and attention to detail
