Schedule Description
DUTIES

This position performs complex duties associated with scheduling services. Primary responsibilities include facilitating the development and dissemination of course and exam schedules, and the scheduling of instructional space within Institutional policies, processes and guidelines.



MAJOR DUTIES & RESPONSIBILITIES

  • Coordinates the production of course schedules and final exam schedules.
  • Creates and modifies sections for registration and provides preventative and remedial maintenance on existing sections.
  • Works with others to resolve complex scheduling issues and provide solutions by comparing and evaluating possible courses of action and making determinations weighing all factors including assessing the impact on the academic work of the University.
  • Provides input in the Senate approval process for courses and maintains the catalog of courses as approved.
  • Coordinates and maximizes the assignment of classroom and meeting room space for external clients and Campus in a collaborative, pan-institutional process.
  • Coordinates the work of and trains the Scheduling Assistant.
  • Develops and documents processes and procedures for effective and efficient scheduling of courses, exams and academic space, as well as maintaining inventory tables and setting in systems.
  • Establishes and provides training for faculty, staff and chairs on scheduling matters.
  • Maintains knowledge of current TRU policies and procedures.
  • Compiles, prepares and summarizes statistical information such as space utilization data and prepares other related reports.
  • Reports classroom space deficiencies to the appropriate area of the University.

QUALIFICATIONS

EDUCATION:

  • Two-year Diploma or Associates Degree


EXPERIENCE:

  • Three-years of relevant work experience, including event and project coordination, computerized report generation, word-processing and spreadsheet skills, scheduling experience, and data entry in a relational database


SKILLS KNOWLEDGE OR ABILITIES RELATED TO THE JOB

  • Detail-oriented with excellent project management skills, including the ability to establish and meet timelines
  • Ability to perform electronic word processing and data entry at 45 wpm
  • Demonstrated excellent business English, spelling, grammar and composition skills
  • Demonstrate intermediate skills in word-processing and spreadsheets
  • Ability to operate related equipment such as printers, scanners, fax machines and photocopiers
  • Ability to work independently as well as contribute as part of a team
  • Ability to conduct office business in a professional manner
  • Ability to work with others to resolve scheduling issues

The salary for the above position is determined by the Collective Agreement with the Canadian Union of Public Employees, Local 4879, as it presently exists.

CUPE Grade 07 $28.34

Please Note: This position may be subject to a 90% salary for the first 560 hours of employment.
