Executive Assistant

Reporting to the financial advisor, the Executive Assistant will play a key role in providing administrative and client management support in day- to-day activities.

This role offers career development as demonstrated success will allow growth into a team leader or office manager position.

Responsibilities

  • Handle client calls and follow-up on inquiries with professionalism
  • Schedule client appointments, send meeting invites and maintain advisor’s calendar.
  • Coordinate the day-to-day schedule by confirming appointments and ensuring client files and paperwork are ready.
  • Create client documents and ensuring they are complete for processing.
  • Review, follow-up and confirm client account openings, transfer request,documents & trades.
  • Assist in investigating and finding resolutions for any rejected trades/transfer requests.
  • Maintain and update the Client Relationship Management System
  • Follow-up on insurance policy applications
  • Support and follow-up with client documents during tax-season
  • Client Relationship Management (I.E. Handwritten Birthday Cards, Christmas Cards, Client Events)

Qualifications:

  • Post-secondary education and/or experience in a similar position (preferably in a wealth management office).
  • Ability to handle sensitive and confidential information with the highest level of professionalism, discretion, and good judgement.
  • Detail oriented and autonomous
  • Proficient in Sales Force an asset
  • Advanced knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, OneDrive) and the interest and capacity to learn and adapt to new technologies and tools.
  • Strong verbal and written communication skills
  • Bilingual (English/French)

Salary: $40,000.00-$75,000.00 per year
