Position Summary:

To provide an excellent and consistent level of service to clients while organizing and detailing events.

Duties and Responsibilities

Primary Responsibilities:

  • Has exceptional knowledge of all aspects of the resort, specifically the banquet department and the facilities and services and packages available, physical plan and layout including but not limited to room set ups, floor plans, knowledge of OPERA, understanding policies and procedures of the banquet and conference centre and applying this knowledge, ability to assist in running functions of all sizes.
  • Work closely with the Sales Managers in contract negotiations and servicing accounts.
  • Thoroughly review event contracts in order to prepare and detail all Banquet Event Orders (BEO’s).
  • Contact contracted clients in a timely fashion and maintain an active and accurate account of correspondence.
  • Distribute BEO’s to applicable departments and managers in a timely fashion.
  • Communicate any needs, changes, and updates to all applicable departments in a timely fashion.
  • Engage in responsive sales activities including but not limited to upselling, suggestive selling.
  • Post and distribute signage for all incoming functions.
  • Work with the Banquet & Conference Services Manager on floor plans and staff scheduling strategies.
  • Provide administrative support to the Food & Beverage team as required i.e. OPERA, Advanced Tracker, etc.
  • Assist in hosting site inspections as needed.
  • Communicate and collaborate with all departments as required for bookings.
  • Ensure efficient, timely and accurate group invoicing, deposits and payments.
  • Participate in Sales & Marketing meetings as well as Food & Beverage Meetings
  • Facilitate the delivery of exceptional experiences for both clients and guests throughout the whole cycle.
  • Act as a liaison between the Sales Department and Food & Beverage to ensure accurate and consistent communication.
  • Liaise with corporate partners and suppliers to effectively deliver a streamlined service to our clients including food and beverage, audio visual, etc.
  • Maintain an accurate and up to date filing system for all client functions at all times for use by other members of the Sales Team as well as Food & Beverage.
  • Be available to greet clients upon arrival and turn over to the Banquet & Conference Services Manager.
  • Assist and participate in trade shows.
  • Establish and maintain an excellent working relationship with all members of the Sales and Food & Beverage Team and equally so, with all other departments within the resort.
  • To maintain a high level of professionalism in dealing with clients, Community, and other members of our industry.
  • To understand the goals and objectives of the Sales and Food & Beverage Departments and execute them as prescribed.
  • To ensure that all Americana Conference Resort & Spa Sales and Food & Beverage Policies and Procedures are adhered to.

Professional Qualifications:

  • Completion of Post Secondary Education in a related field.
  • 1-3 years experience in Catering Event Coordinator position
  • Previous experience in banquets event operation is an asset
  • Previous experience with OPERA is an asset

  • Must possess excellent refined communication and interpersonal skills and the ability to establish and maintain working relationships with Team Members, customers, and other association representatives.
  • Detail-oriented, ethical and honest
  • Must be proactive, results oriented and skilled at prioritizing and multi-tasking a high volume workload.
  • Ability to work safely in a fast-paced environment.
  • Ability to work days, evenings, weekends.
