About the team
The Employee Communications team at IGM Financial is responsible for planning and delivering engaging and strategic employee communications across the IGM Financial group of companies (Mackenzie Investments, IG Wealth Management and partners with Investment Planning Counsel) to help drive a fulfilling employee experience, culture and business performance. Success is achieved through optimizing and modernizing internal digital channels through data-driven insights, advising and supporting Business Partners on new and fresh communications to enhance our talent brand and culture, and developing integrated CEO communication programs and events to engage employees in IGM’s business success.

About the role

Part of the IGM Human Resources team, the Digital Specialist, Employee Communications (EC) will partner closely within the team to help to improve the employee experience, developing innovative, proactive, metrics-based digital communication practices and tactics. The Digital Specialist role is an individual contributor, based in Toronto, in a hybrid workplace environment.

Key Accountabilities:

Digital communications planning & optimization
  • In partnership with the team, assist in developing and implementing the Employee Communications strategy, plans and calendars for the internal digital ecosystem and channels including intranets, newsletters, video / photo libraries, target emails and digital boards
  • Partner with the Employee Communications team on the shared editorial calendar to plan and execute daily news articles, and special / time-sensitive updates posted on our digital channels
  • Help plan and execute program-specific intranet hubs/sections for key business priorities (e.g. community, DEI, and leader hub) delivering optimal layout and functionality for a fulfilling employee experience
  • Lead and/or support projects to improve sections of the intranet or deliver new tools, functionality and/or intranet platforms as needed
  • Partner with digital specialist colleague to provide cross-training and back-up as needed across all internal digital channels, including intranets, development and delivery of weekly/monthly newsletters, target emails and branded digital boards
  • Manage and/or partner to provide metrics & share insights via a quarterly report on digital channel effectiveness – use analytics, data-driven insights, and industry trends to help measure the success of communications and inform continuous improvements and optimizationDigital communications planning & optimization
Intranet site administration

  • Manage the day-to-day intranet site and visual content – including visual design, site navigation, site content engagement, and user training while adhering to brand compliance to deliver a strong employee experience
  • Publish content on a daily basis for employee intranets including text, images, and videos, including manage the homepage to maintain a proper balance of content and tools
  • Provide documented instructions and intranet training to users of all different levels (including average users, content owners, Employee Communications team) to continue to build a self-serve model
  • Support department efficiencies to optimize digital communication standards including documenting, implementing and cross-training team on work processes/practices as needed
  • Audit intranet regularly with a focus on the homepage to ensure content is accurate, appropriate and timely
  • Partner with internal partners (e.g. I.T.) and vendors (e.g. Habanero) on digital technology implementations, issues and upgrades
  • Support administration requirements for digital tools (may include Staffbase and Airtable)
Education, Experience and Behavioural Competencies:

  • Degree or College diploma/certification in digital communications; additional designation is an asset
  • Minimum 2-3 years’ experience in employee or corporate communications in an agency/conglomerate setting
  • Proficient / broad knowledge in MS SharePoint and web technologies (HTML, CSS, JS)
  • Proficient in MS Office 365, MS Office Suite (Word, Excel, PowerPoint, Outlook), Adobe applications and Google analytics
  • Broad knowledge with digital email/newsletter platforms
  • Broad knowledge with design software for formatting pictures (Photoshop)
  • Outstanding project and time management skills to manage deadlines and conflicting priorities
  • Innovative, able to work with changing technologies and introduce industry best practices
  • Actively collaborates within a team, shares ideas, seeks opportunities to learn and continuously improve
  • Strong project management skills, organized, ability to prioritize tasks, displaying a can-do attitude and enthusiasm
  • Seeking to develop, adhere to and optimize work processes and practices
  • Responds well to changing priorities and circumstances, and demonstrates resilience and positivity when faced with disruptions or obstacles
  • A positive attitude, a desire to learn, a willingness to roll up your sleeves to get work done either independently or as part of a team
  • Strong level of comfort with social software and other web-based technologies
  • Work hours may vary; limited evening and weekend work may be required from time to time; Incumbent should be comfortable self-managing their time and maintaining a healthy work-life balance
