The International Admissions Representative provides guidance to admissions applicants and agents, ensures applications are complete and ready for formal decision, and supports compliance with enrolment plans and targets. This role specializes in international education and student immigration. They work closely with applicants and agents, admissions officers, other college employees, and external partners to interpret and process applicant files.



Specific Accountabilities Will Include:


Application Guidance and Communications – 35%

  • Follows up with applicants on required transcripts, supporting documents, study permits, application fee payments, confirmation deposit payments, and conditions for conditional admission.
  • Communicates with international applicants and their agents through the online application system, by email, phone, in-person, in meetings, and other means.
  • Interprets college policies and rules for applicants to help them better understand their options, required actions, and challenges.
  • Screens transcripts and language proficiency results prior to file advancement to an admissions officer, advising applicants when results do not match documents expected by region or as prescribed by a senior employee.
  • Creates, verifies, and issues acceptance packages, tuition/fee estimates, and other official admissions documents on behalf of the College.
  • Tracks applicant progression towards qualifying for entry to Canada, including applying for immigration, satisfying the requirements towards immigration, and submitting the required approvals to the college in a timely manner.
  • For unqualified applicants, advises them on alternate pathways towards admission, such as alternate programs, alternate intakes, English language learning, etc. to maximize positive applicant outcomes and retention.
  • Tracks and coordinates conditions and deadlines on individual applicant files.
  • Advises applicants in using the application portal, including troubleshooting and problem solving; escalating complex matters to the technical support team.



Compiling applicant files for assessment – 35%

  • Verifies the completeness and accuracy of applicant files for formal decision by an admissions officer, including validating applicant name, contact information, date of birth, citizenship information, and academic history against documents submitted.
  • Corrects applicant information based on submitted documents, college policies, and industry best practices to ensure the accuracy of the applicant and student file.
  • Prioritizes and expedites applicant files based on department priorities such as start term, program, and geographic region.
  • Utilizes multiple student information systems, tracking tools, and communications systems to access, update, and verify applicant and student data.
  • Identifies and investigates cases of record duplication and refers the case for resolution.
  • Tracks, extends, defers, and closes outstanding offers of admission using established criteria and best practices.
  • Reconciles unmatched application fee and deposit payments, including investigating payment errors and giving advice to student finance employees.
  • Closes applicant files in collaboration with records employees following major deadlines and term dates.
  • Advises and makes recommendations to admissions officers and supervisors on international applicant files.



Collaborating with internal stakeholders - 25%

  • Regularly collaborates with internal colleagues in international recruitment, international advising, finance, and fellow registrar’s office employees.
  • Documents and discusses agent accuracy, performance, and compliance to the college department responsible for agent management.
  • Identifies opportunities to maximize program and applicant yield to senior colleagues and supervisors.
  • Liaises between the applicant with admissions officers, international recruiters, and others.
  • Regularly collaborates with external stakeholders including vendor partners and agencies to resolve system and process issues.
  • Prepares, verifies, and distributes various international admissions reports to college stakeholders.
  • Consults with academic program areas (program chairs, associate deans, dean’s assistants) on unique and complex cases.
  • Streams prospect, applicant, and learner inquiries in shared channels in collaboration with other business units and external partners.



Additional skills and duties – 5%

  • Keeps current in knowledge concerning international education systems, immigration regulations, and inter-cultural awareness.
  • Monitors trends in Canadian immigration and with other Canadian post-secondary institutions to make recommendations to senior colleagues and supervisors.
  • Identifies opportunities to expedite applicant processing, reduce applicant barriers, and improve the applicant experience

Job Requirements

Minimum Qualifications

  • Diploma
  • A minimum of one year experience in a student service or educational support role, especially working with international learners
  • Strong background in providing supportive, easily-understood, compassionate service to clients.
  • Experience supporting diverse clientele.
  • Confidence supporting clientele through online messaging, email, phone, and in-person.
  • Experience working in a collaborative environment with diverse professionals in distinct roles and work groups.
  • Strong proficiency with Microsoft 365 (Office), Microsoft Windows, database systems, and browser-based applications.
  • An equivalent combination of education and experience may be considered

Preferred Qualifications

  • A strong understanding of the international learner experience.
  • Familiarity with the higher education sector.
  • Experience interpreting unique terminology and guidelines for clientele.
  • Strong inter-cultural competencies and ability to work across differences.

This is a continuous, AUPE position.
