About Our Opportunity


Reporting to the Director of Air Quality and Resource Management, you will provide secretarial and administrative services to the directors, managers, and staff of the Sustainability and Applied Science (SAS) Division. You will manage a broad range of office activities and enhance the efficiency of the day-to-day administrative operations of the Division.

Primary Accountabilities


In addition to secretarial leadership, you will provide functional support, guidance, and oversight on operational matters pertaining to the Division's procurement, grants, and accounts payable functions; expertise and guidance pertaining to common (and custom) information technology platforms and records management processes/software; and ongoing support for office management processes and event planning. You will also help ensure Divisional adherence to administrative and financial policies and processes.


Duties include processing and tracking projects/transactions/deliverables; maintaining records; organizing and preparing materials and documents; composing, editing and formatting correspondence; gathering information and generating reports; managing electronic and paper file systems; scheduling appointments; making travel arrangements; sorting and recording incoming mail; managing conflicting priorities; supporting recruitment and onboarding processes; and performing other administrative duties as assigned.


You are required to respond effectively and confidentially to inquiries from other divisions, government departments and external parties. You will also provide support and backup to the Administrative Assistant to the Executive Director of Sustainability and Applied Science Executive Director of Policy and Planning as required.

Qualifications and Experience


To be successful in this position, you will have completed a one-year business course (e.g. professional administrative assistant/secretarial) and have three or more years of related experience, or an equivalent combination of training and experience.

You must be proficient in the use of Microsoft Word, Excel, PowerPoint, Adobe, and Outlook. Must possess initiative, good judgement, strong interpersonal and communication skills, excellent organizational and administrative skills, and an excellent understanding of office procedures. Must demonstrate the ability to work independently in a busy and challenging environment exercising sound judgment in balancing multiple priorities, be able to interact effectively with tact and discretion, and be a team player. A general knowledge of accounting procedures is critical to success in this role. Experience with Access, Flextrack, SAP, Ariba, project management, and the STAR & STOR Records Classification System is considered an asset.

Pay Grade: CL 18

Salary Range: $1,626.82 - $1,820.19 Bi-Weekly
