Position Summary:
The Faculty of Engineering and Applied Science, Administrative Assistant provides a range of administrative support services and is the point of contact for students, faculty and the general public. It is expected that the incumbent will have excellent interpersonal skills and attention to detail in correspondence and maintaining accurate records. Work is performed with general supervision in a fast-paced environment, subject to multiple, competing deadlines and priorities, with frequent interruptions. The high traffic area is shared with other administrative staff. All staff work independently, in addition to working as a team, to provide administrative services required by the Faculty.

Duties and Responsibilities:
  • Initial point of contact for undergraduate students which includes answering students’ general questions about programs, registration procedures, troubleshoot issues, etc.;
  • Maintain electronic student files and confidential student information;
  • Assisting with convocation and textbook processing;
  • Prepares academic letters for signature of Associate Dean and Program Chairs;
  • Operate within a teamwork structure and provide backup assistance in the General Office, which may include assisting with graduate queries and various other tasks;
  • Compiling and analyzing data and creating reports;
  • Provide support for Faculty and/or University related events and activities;
  • Schedule and maintain advising appointments;
  • Liaise with the Registrar’s Office, Admissions, Enrollment Services, URI and other units on campus as required; and,
  • Other job related duties as assigned.
Position Requirements
Position Requirements:
  • Graduation from Grade 12 supplemented by the successful completion of a recognized business course with a minimum of three years experience related to the duties specified. An equivalent combination of education and experience may be considered;
  • Demonstrated intermediate to advanced knowledge of MS Office applications including Word, Excel and Powerpoint;
  • Demonstrated knowledge of office practices, principles and procedures;
  • Strong interpersonal and communication skills to convey information in an effective, courteous, cooperative manner;
  • Demonstrated experience and ability to apply university, government and departmental academic policies and procedures;
  • Experience using University information systems such as Banner, Caspur reports, and URDocs; experience using other equivalent business systems may be considered;
  • High level of organizational skills and ability to prioritize and handle multiple tasks efficiently and meet deadlines while maintaining accuracy;
  • Ability to work independently and as part of a close knit team to complete projects;
  • Ability to work with minimal supervision and make informed, independent decisions in accordance with established policies and procedures;
Physical Demands Pay Grade CUPE Phase 4 Salary Range $42,533.40 - 57,457.40 Annually Status Term Work Hours
Monday to Friday, 8:15 am to 4:30 pm
