The Role: Admin Assistants (8 Week Contract)
Trellis Society is seeking Admin Assistants to join our team this summer through the Canada Summer Jobs program. This 8-week contract position will involve working 35 hours per week and providing quality summer work experiences for young people aged 15 to 30 years.

Tasks & Responsibilities:
  • Support families with subsidy applications as needed
  • Data inputting (surveys, DRDPs three times a year and registration forms on Trax)
  • Creating posters and monthly newsletters
  • Booking interviews, printing interview questions and resumes, completing reference checks
  • Agency training support
  • Program file management
  • Monitoring Administrator/for monthly drills, lifecycle checklists etc.
  • First Aid Kit/ Emergency roadside kit ordering, organizing and checking
  • Support staff in applying for their childcare certifications.
  • Assist visitors in finding their way around the building
  • Phone management
  • Mail management and distribution, responsible for the timely and efficient flow of mail and courier items between the Renfrew Building and Zurich Court Building
  • Oversee scheduling and booking of rooms at the hub, while considering the needs of all programs who reside out of the Hub.
  • Maintain the reception area including daily minimum sanitation needs
  • Transfer client info from Camp Brain/RSG/RSL into Trax or SharePoint
  • Property maintenance and facilities support
  • Be able to answer questions about areas of the Agency to visitors and new staff
  • Provide a safe environment for all who come to the agency

What You’ll Bring to The Role:
  • Administration or Social Services education with recent and relevant experience, or an equivalent combination of training and experience
  • Experience working with families, youth or children is considered an asset
  • Proficiency in Microsoft Office programs and ability to learn database systems
  • Concise and clear communication (verbal and written) and problem-solving skills
  • Ability to provide a Criminal Record Check with vulnerable sector search and Child Intervention Record Check
  • Practice is considered an asset

Reporting Relationship:
This position directly reports to a Trellis Program Manager
