POSITION SUMMARY

Working within the Education Department, Lalme’ Iwesawtexw (Seabird Island Community School), the School Secretary is typically the first point of contact for the school and is often the heartbeat of the school office. The Secretary is the person behind every schedule, meeting and file contained in the school building. They are often the keeper of all pertinent information relating to the administration of the school. The school secretary is responsible for a wide variety of clerical duties in support of Lalme’ Iwesawtexw (Seabird Island Community School) which Includes communicating school related activities, greeting and screening students and parents, answering and transferring telephone calls organizing digital and paper filing systems. You will often be the first point of contact for potential students, parents and staff, you contribute to a role in general office appearance, organization, and professional impression.

WHAT YOU'LL DO

  • Provide clerical and administrative support to the principal, vice principal and teaching staff as directed. This may include photocopying, filing, proofreading, editing, typing, etc.
  • Compose, receive, and distribute school correspondence and newsletters.
  • Book rooms, meeting resources, conferences and consumables. Coordinate internal and external meetings, appointments, events, workshops, seminars and special events. Make necessary travel arrangements for administrative personnel.
  • Maintains master schedule and event calendars; cross reference with district timelines and facility availability.
  • Greet all visitors and make announcements.
  • Perform general office duties such as answering telephone, filing, processing mail and data entry on a daily basis. Take and relay messages and transfer calls as necessary.
  • Set up and maintain paper and electronic filing systems for records, correspondence and other materials.
  • Handle all details of supply order and inventory tracking. This includes purchasing of school materials, computers, hardware, software and office equipment. Test, operate and troubleshoot new office technologies as they are purchased and implemented.
  • Attend meetings, record and distribute minutes.
  • Ensure that the school operates in a consistently organized manner every day.
  • Act as a liaison between the community, the school and other internal and external stakeholders.
  • Coordinate appropriate documents for communication with the school’s district office.
  • Maintain all record keeping for students and staff.
  • Track attendance and absences; using reporting software and generate reports for internal and external use.
  • Handle scheduling of replacement staff in case of regular staff absences.
  • Coordinate schedules for the Principal and Vice Principal.
  • Manage multi-line phone systems and public address systems.
  • Perform petty cash and school funds transactions and recordkeeping. Facilitate budget decisions when and where required.
  • Maintains strict confidentiality of all students and staff in all circumstances.
  • Other duties or responsibilities as assigned by your supervisor, Director, or the Executive Director

WHAT YOU BRING

  • Business Administration Diploma or Secretarial Certificate.
  • Minimum of 2-3 years of experience in an administrative support role. Experience in a school setting is considered an asset.
  • People orientated and exceptional customer service skills.
  • Ability to multi-task and strong organizational skills.
  • Ability to act as a role model for all students and Community/Band Members
  • Strong customer service orientation.
  • Strong knowledge of general office procedures.
  • Able to write simple correspondence, including memos, letters, etc.
  • Knowledge of MS 365 Office Suite; outlook, word, excel.
  • Ability to adhere to Oath of Confidentiality and Seabird Island Band Policies and Procedure.
  • Knowledge and respect of Stó:lō culture, traditions and language is considered an asset.
  • Experience working with First Nations communities is considered an asset.
  • Valid BC Driver’s License, Class 5.
