Summary of Position:
The Service Receptionist is responsible for the timely picking up of all service calls, greeting walk-in clients, making appointments efficiently and providing administrative support to the department. Additional duties include parts special order follow-up and Service marketing via the Customer Reminder System (“C.R.S.”). The Service Receptionist must present a personable, knowledgeable and professional image as this person is the ambassador of Brian Jessel BMW Service.
Accountabilities & Responsibilities:
Provide friendly, professional, and courteous customer service
Meet and greet all clients in the showroom or on the lot and direct them to the appropriate person or department
Answer service switchboard and direct all calls to the appropriate department, person or voice mail / timely answer of all Service Department general emails
Ensure customer needs are addressed and answered, or guide them to the appropriate party that can assist with their request
Monitor the meeting and greeting of clients and assist drive-thru staff if necessary
Responsible for efficient and knowledgeable appointment scheduling, appointment confirmation phone calls, follow up phone calls and updating the database with appointment cancellation
Books valet pickup services for clients and confirm the valet appointment the day prior with both parties
Create and update Customer Files (Address, phone number etc.)
Maintain the Service Cash Float (Cash Register)
Daily accounting cash out of revenue received in Service
Update and maintain the Courtesy Car/Valet Pick-Up logbook
Advice Service Advisors of next appointment and take/ communicate messages for them
Work with Drive-Thru and Lot Staff when coordinating pick up and drop-offs
Provide administrative support such as general filing and photocopying, ordering of supplies/forms, and photocopying service forms
Responsible for sending service mail
Maintain the cleanliness of the service customer lounge
Maintain a clean and professional image
Responsible for coffee area cleaning and replenishment
Use MS Office to create spreadsheets, transcribe correspondence, memos, short reports, and other documents as requested
Adheres to Company Uniform Policy
Greeting/Screening clients (to today’s new Covid regulations and Brian Jessel’s policies)
Accounting / Deposit duties
Booking appointments
Performing check out and check in of in house loaner cars with clients
Coordinate any sold loaner cars with Sales Dept.
Manage the fleet; ensuring cars are in condition, sanitize, schedule vendors if needed, reserve cars requested by advisors
Train/coach any new lot staff members
Supervise/delegate any tasks to other lot staff members
Other duties as assigned by management
Job Qualification Requirements:
Post-secondary administrative training or equivalent experience
Minimum 2 years of reception or in-person customer service experience
High Customer Service Skills, Active Listening
Strong interpersonal and relationship building abilities
Ability to work with all levels of management and staff
Ability to work independently and take initiative, with little or no supervision
Ability to work in a high volume and fast-paced environment
Detail-oriented and possesses strong organizational skills
A team player capable of interacting professionally with both staff, distributors and customers
Ability to function in a high volume, fast-paced work environment
Adaptability and flexibility to deal with last-minute changes to ensure the highest level of service
Software skills assets: Reynolds, REX, ISPA, MS Office (Word, Excel, Outlook)
Able to work under pressure and strict deadlines
Strong time management skills
Work Environment:
Our hours of operations are below. The hours and days of work are dependents on your role with a 40-hour workweek for full-time employment.
9:00 am to 7:00 pm Monday to Thursday
9:00 am to 6:00 pm Friday
9:00 am to 6:00 pm Saturday
12:00 pm to 5:00 pm Sunday & Statutory Holidays
