JOB SUMMARY:

Reporting to the Manager of Operations, the Operations Administrator is responsible and requires performance across a wide range of administrative tasks within the operations department, including the administration of Mobile Equipment, Fabrication Equipment, Drivers Logs, Truck Inspection Logs, Boom Inspection Logs, Cycle Counting, and Reporting.

The position requires extensive sitting, standing, walking, and periodic handling of items weighing up to 30 lbs. unassisted within the warehouse or office. Applicants must be comfortable working in a fast-paced, time sensitive and, at times, physically demanding environment with exposure to winter and summer temperature conditions. Applicants must have excellent organizational skill, communication and workplace collaboration skill, and overall excellent working knowledge of Microsoft Office, including Excel, Word, PowerPoint and Enterprise Resource Planning (ERP) software experience.

PRINCIPLE RESPONSIBILITIES:

Daily:

· Mobile Equipment; Track, collect, verify and obtain signature and file Pre-Shift Inspection Checklist, Organize and file work orders from 3rd party, Ensure equipment is LOTO

· Fabrication Equipment; Track, collect, verify and obtain signature and file Pre-Shift Inspection Checklist, Organize and file work orders from 3rd party, Ensure equipment is LOTO

· Driver’s log (Government’s legislation); Track, collect, verify and obtain signature and file accordingly

· Truck Inspection Forms (Government’s legislation); Track, collect, verify and obtain signature and file accordingly

· BOOM Inspection Forms; Track, collect, verify and obtain signature and file accordingly

· COVID; Track Employees, Assist with temperature readings, Report concerns to Manager

· Cycle Count; Support daily cycle count as needed

· Documentation and reporting as required

Weekly:

· Safety Toolbox Talk / Stand Down Meeting; Ensure signatures, file locally and provides copies to CSEO

· Training Matrix; Maintain master list training updated

· Timesheets; Totaling timecards for CSAM entry by Operations Manager. This takes 3 hours for the Ops Manager in CS-Montreal – every week.

· Day 1 onboarding; Preparing onboarding package documentation, ensuring training is completed as per checklist

Monthly:

· Update EHS board; Update Core Element Boards with updated SOPs

· Update Communication Board (Schedule change, Covid Notification, Bus Schedules, etc.)

· Update Truck PM Board with updated information

· Book Truck PM Appointment and provide information to Operations Manager (call)

· Perform monthly physical truck safety equipment

· Branch National Consumables (including small wares): ordering, inventory updates and transfer requirements

· Calculation of monthly productivity hours for CSEO (SD)

· Monthly Odometer Readings for CSEO

· Monthly Water Readings for CSEO

· Monthly inspections / inventory of first aid kits

· Monthly inspections of fire extinguishers and sign off

· Monthly inspections of eye wash stations

· Participate in monthly JHSC meetings – Meeting Minutes

· Participate in monthly workplace inspection – Meeting Minutes

· Tracking and completing missing document for EHS

· Obtain and file contractor’s safety documents (Proof of insurance, WSIB, etc.)

· Employee Expense Report (safety shoes, etc.)

· Uniform distributions and request

· Hiring Process; Interview notes, warehouse tours, Interview booking

· Other duties as required.

QUALIFICATIONS/EXPERIENCE:

· University or College graduate preferably in Operations or Business

· Proficiency in MS Office, with advanced knowledge of Excel is required

· Well developed analytical skills which enable interpretation of financial data

· Highly organized and detail oriented

· Strong interpersonal and communication skills to effectively build key relationships

· Ability to prioritize and handle multiple tasks, adapt to a fast-paced working environment

· Dedicated commitment to providing superior, timely internal and external customer service

· Impeccable values of honesty and integrity

· Team player, have the ability to build relationships with all levels within an organization
