Position Summary

Reporting to the Director, Indigenous Services, the Office Coordinator provides administrative support, academic support to students, and coordinates activities for staff, faculty, students and community members who are seeking assistance in the Indigenous Resource Centre while being responsible for the day-to-day operations of the Indigenous Resource Centre.

Duties and Responsibilities

  • Prepares and processes sensitive and confidential information and correspondence
  • Creates and maintains databases for tracking purposes
  • Maintains departmental files and records
  • Sources and purchases instructional and office equipment and supplies
  • Processes financial and budgetary information, including Adaptive Planning
  • Documents, analyzes, and produces reports and proposals, internally and to the Ministry on activities and outcomes
  • Identifies, assembles, organizes and produces materials and information for reports, meetings, departmental programs and presentations
  • Recommends and develops policies and procedures for the effective office management of Indigenous Services
  • Verifies and reconciles the accuracy of reports, staff expense claims and documents
  • Compiles and maintains work study students’ attendance records for submitting into the payroll system
  • Maintains full time attendance reporting through Attendance Tracker software
  • Responds to issues and requests by providing general and specific information in response to in-person, telephone, and email inquiries
  • Assists in planning, scheduling, promotion, and delivery of community-based programs and workshops promoting awareness and understanding of cultural practices
  • Provides academic support to the students who use the services of the Indigenous Resource Centre (i.e. mentoring and identifying appropriate assistance and support)

Qualifications

  • Completion of a two (2) year diploma in Business Administration, Human Studies or equivalent
  • Minimum three (3) years’ experience providing administrative support in an education setting
  • Proven customer service skills in a fast-paced environment
  • Professionalism, tact, discretion, and diplomacy are required
  • Ability to exercise independent judgement and problem-solving for complex and sensitive situations
  • Excellent computer literacy skills
  • Excellent verbal and written communication and interpersonal skills
  • Ability to work effectively with a team and independently
  • Excellent organizational, time-management, multi-tasking and priority setting skills
  • Knowledge of Indigenous language and traditional practices, culture and ceremonies preferred
  • Valid driver’s license and clean driver’s abstract
  • The incumbent identifies as being of Indigenous heritage including First Nations, Metis or Inuit (as a bona fide occupational requirement, under Section 24(1) of the Ontario Human Rights Code
