What is the role?
The Lease Administrator is responsible for all payments of rent, CAM & property taxes required under Pet Valu Canada Inc. leases for a specific territory of Pet Valu stores in Canada. The role also includes lease accounting and tenant allowance tracking and accounting responsibilities. Significant responsibilities include the completion of desktop audits of year-end CAM/Tax reconciliation invoices from landlords and the entry of approved payments into the CoStar system for the processing of the monthly rent roll. The incumbent will also train new analysts on NAV and CoStar.
What will you do?
  • Audit year-end CAM/Tax reconciliations from landlords, find and track overbillings/savings, communicate disputed calculations with landlords.
  • Maintain lease data, new store setups, renewals, expansions, and other amended information in CoStar systems for all leases in the designated geographical territory.
  • Receipt, review and data entry into the CoStar system of all landlord CAM and property tax budgets, after comparison to prior year charges and validation with the landlord, where warranted.
  • Preparation of offsetting franchisee rent and CAM/property tax invoices based on current payments to the landlord, and adjustments for final annual reconciliations, for sending to the franchise billing team.
  • Preparation of all necessary one time adjusting calculations for stores that are sold to or bought back from franchisees.
  • Period-end lease accounting work, including calculation of prepaid rent and CAM/Taxes, deferred rent, tenant allowance amortization entries, and miscellaneous additional journal entries.
  • Maintaining the tenant allowance receivable schedule.
  • Entry of new leases and amendments into the CoStar system.
What will you need to succeed?
Education and Experience
  • 3 years’ experience with commercial lease agreements and lease administration
  • Bachelor’s degree in real estate management or other business/accounting degree
  • Experience with lease administration systems and accounting systems (NAV and CoStar)
Knowledge and Skills
  • Proficient in Microsoft Excel
  • Good time management skills
  • Ability to deal with ambiguity
  • Customer-focused orientation
  • Strong negotiating skills and problem-solving abilities
