HOURS OF WORK:

Monday to Friday 8:30am – 4:30pm

The University of Windsor is situated on the traditional territory of the Three Fires Confederacy of First Nations: the Ojibwa, the Odawa, and the Potawatomie.

JOB PURPOSE:

The Graduate Client Services Clerk acts as the primary contact to the office of Graduate Studies and provides secretarial and administrative support services in the areas of graduate admissions, scholarship funding and other graduate-related areas.

SUMMARY OF DUTIES:

1. First point of contact for students, faculty, staff, and visitors, responding to queries in person, phone, and e-mail.

2. Assists in the admission deferrals process.

3. Posts incoming notices and maintains the department bulletin boards; as well as the Faculty of Graduate Studies (FGS) website and social media pages (e.g., Twitter).

4. Interprets Faculty of Graduate Studies academic regulations for students, faculty, and staff.

5. Provides support services to other staff members in the areas of recruitment and admissions, financial support for graduate students, in-program student matters, thesis/dissertations.

6. Assists with scholarship letters and confirms type of award matches what is granted by the FGS; respond to student scholarship inquiries and assists in organization of internal and external scholarships

7. Analysing reports/data to gather data relevant to FGS.

8. Orders office supplies and materials, sorts/distributes internal and external mail and provides administrative support to the FGS (e.g., Book meeting rooms, student appointments).

9. Other duties as assigned.

ESSENTIAL QUALIFICATIONS:

The successful candidate will have:

  • Diploma in office administration or administrative experience as it relates to the duties of the position
  • Ability to provide professional and courteous customer service along with a high degree of cultural sensitivity and cross-cultural awareness
  • Ability to work effectively in a deadline-driven environment with a high volume of work and many interruptions
  • Excellent computer and keyboarding skills (Word, Outlook, PowerPoint, TEAMS, and Excel) and knowledge of social media platforms i.e., Twitter
  • Experience with a Student Information System i.e., UWinsite or compatible system
  • Willingness to participate in on-going internal training for upgrading of skills

THE FOLLOWING TESTS WILL BE ADMINISTERED:

MS Word (Basic Level), MS Excel (Basic Level); Typing (30 NWPM)

  • Excellent oral and written communication skills including the ability to convey complex information in a positive and clear manner
  • Ability to maintain strict confidentiality and be able to exercise tact, diplomacy, discretion, integrity, and sound judgment at all times
  • Ability to work independently with minimum supervision, as well as part of a team
  • Ability to exercise sound judgement and to recommend resolution on issues as they arise
  • Ability to handle and respond to diverse demands and expectations, i.e., departments, staff, Director
