Under the general direction of Director, Administration & Finance, the Financial Assistant responds to general inquiries and provides administrative support to the Finance Office. This position is responsible for processing accounts payable and receivable documents, expense reimbursements, journal entries and internal cash deposit forms. This position will also act as a backup for shipping and receiving duties as well as payroll.

Your responsibilities will include:


  • Applying the generally accepted accounting principles to all financial tasks
  • Checking that proper approvals are obtained prior to processing transactions
  • Monitoring department budget to ensure expenditures remain within budgeted allocations
  • Reconciling accounts; Preparing and/or processing journal entries
  • Generating standard financial reports
  • Processing expense reimbursements; Processing invoices
  • Keeping well-informed on key University and sponsor policies and trends
  • Identifying and resolving individual financial discrepancies
  • Liaising with clients and vendors to resolve minor complaints and address issues


Essential Qualifications:


  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience
  • Minimum 3 years of related financial experience
  • Experience with FIS, or equivalent financial information systems
  • Demonstrated experience processing financial transactions and preparing financial reconciliations
  • Strong understanding of generally accepted accounting principles
  • A strong customer service orientation, and effective interpersonal skills to deal with students, staff and faculty with professionalism and tact
  • Demonstrated ability to work individually and as part of a team
  • Strong written and verbal communication skills
  • Demonstrated ability to exercise a high level of confidentiality
  • Ability to take initiative and work proactively, with demonstrated experience recommending process and workflow improvements
  • Demonstrated ability to organize work and establish priorities in a flexible way, and successfully meet deadlines with competing priorities and interruptions
  • Strong knowledge of MS Office suite (e.g. Word, excel, Outlook, OneDrive) and Sharepoint

  • Related experience in a post-secondary environment
