Job summary
Provision of overall management and leadership in implementing Board policy in a manner consistent with the mission and goals of the organization including but not limited to:

  • strategic planning,
  • grant writing and reporting
  • project management (including capital renovations)
  • community development
  • fundraising oversight
  • day to day operations and facility management at The HUB and St. Andrews
  • volunteer recruitment, retention and management

Prime functions

Implement board policy and decisions

● Act as a resource to Board of Directors so that policy decisions are made on an informed basis

● Gather, interpret and articulate information to Board about community trends and resources as they relate to enhancing the Board’s capacity for effective communication, decision-making and long-term planning

● Keep Board informed (on a timely basis) of significant issues affecting the development and delivery of programs and services

● Provide guidance and advice to Board on process issues such as establishing and interpreting terms of reference, decision-making and accountability

● Member of Capital Planning Committee, Strategic Planning, and Executive Committee
● Attend and participate in meetings, assisting with materials and recording note/minutes for distribution

Monitor and oversee financial management of the organization

● Ensure (or assist with) development of annual budget and present to Treasurer for evaluation and modification as required
● Collaborate with Board in Strategic/Business Plan development, updating and monitoring changes and developments.
● Identify, prioritize and provide advice and counsel to aid Board in accessing potential fund-raising options

● Maintain relationships with funding sources and assist in preparing funding proposals
● Receive monies collected from the members or other sources and preparing deposits to be completed by Treasurer (Accounts receivable) if required to do so

● Receive invoices and prepare payments to be completed by Treasurer (Accounts payable) when not completed by Administrative & Financial Coordinator or bookkeeper
● Keep accounting records in respect of the Society’s financial transactions and produce a monthly financial statement to be reviewed by Treasurer

Manage Staff & Oversee Volunteer Recruitment

● In consultation with Board, ensure appropriate staffing consistent with community and member needs and within the constraints of the organization’s physical and financial resources

● Develop and maintain the Personnel Policy & Procedure Manual with an annual review of any changes or updates presented to Board

● Develop and maintain appropriate job descriptions for all staff
● Recruit, select, orient and train staff
● Evaluate staff: Devise and oversee job reviews for employees in conjunction with the

Board, on a 3 or 6 month basis for new employees and on a yearly basis for on-going employees

● Advise Board of Directors to ensure staff are appropriately compensated
● Promote volunteerism, working on acquiring and incentivizing the volunteer population.

Facility Operations - Maintain, acquire and dispose of physical assets

● Ensure that facilities, furniture and equipment are as necessary and appropriate to needs of the organization

● Provide recommendations to the Board for any acquisitions or expenditures that are outside the approved budget

● Ensure proper maintenance of facilities, furniture and equipment
● As necessary, dispose of outdated or worn out equipment

Develop, plan, market and deliver programs and services

  • Oversee the development, maintenance and implementation of marketing strategies for programs and services and promote the overall presence of the HUB in the local and wider communities through effective use of email, social media, print advertising and word of mouth.
  • Work on developing/maintaining website presence for the CSAA in collaboration with marketing staff and key volunteers

● Monitor community needs on an ongoing basis, be aware of changing context within which programs and services are provided

● Develop programs and services consistent with community needs, both the immediate local community and broader area community

● Monitor programs and services to ensure consistency with criteria established by funding sources and the mission and goals of the organization

● Annually prepare and provide to the Board, and other applicable bodies, summary reports of programs and services, including recommendations for future improvement and change

● Annually obtain statistical and qualitative feedback about program and service delivery

Establish, maintain and advance community relations

_Initiate and develop relationships with a broad range of community sectors including: local communities, First Nations. all levels of government, other non-profit organizations and business organizations● Undertake activities within the Community that enhance the visibility of the organization
● Represent the organization on appropriate committees, network and joint projects
● Develop and provide information about the organization’s goals, programs and services_

Qualifications

● Related Bachelor Degree (e.g. Business Administration in not-for-profit management, community social work, social geography) or equivalent experience
● Experience in managing a community based volunteer agency
● Proficiency with PC computer applications including Microsoft Office, Rental/Booking software & QuickBooks
● Proficiency with Social Media platforms
● Grant writing and reporting experience
● Experience in initiating, planning, implementing and evaluating programs and services
● Experience in staff and volunteer management
● Project management experience
● Experience with facilities maintenance considered an asset
● Experience with capital project management considered an asset

Performance Criteria

● Development of strong working relationships with all relevant organizations, staff, board and volunteers

● Enhancement of the organization’s image both within and outside of the organization
● Successfully carrying out the prime functions of the job description

Job Types: Full-time, Permanent

Salary: From $29.00 per hour

Education:

  • Bachelor's Degree (preferred)
