Our department has a wide variety of services including chemical stores, an NMR lab, an X-ray analysis lab and a mass spectrometry lab. The Chemistry Stores Financial Assistant works under the general direction ofthe Manager, Chem-Labs Technical Support and Supplies, and works closely with the Business/Finance unit.

Your responsibilities will include:


  • Acting as a first point of contact for purchasing enquiries and handling fees.
  • Maintain stores inventory and keeping accurate records and coordinating the shipping and/or receiving of goods.
  • Following rules and procedural instructions when storing chemical materials, transporting and/or disposing of chemical waste, and dispensing chemicals.
  • Collaborating on cost estimates, and verifying that University procurement and financial policies are followed
  • Liaising with suppliers to ensure goods are delivered in a timely manner, clients and vendors to resolve minor complaints and address issues, and vendors regarding the return of goods.
  • Verifying that supporting documentation is attached to financial records, ensure proper approvals are obtained prior to submitting for processing, andidentifying and resolving individual financial discrepancies
  • Generating standard financial reports
  • Maintaining information on a website


Essential Qualifications:


  • An advanced College Diploma (3 years) program in Accounting or Finance or an acceptable combination of equivalent experience.
  • Minimum of three years of recent and related experience coordinating a large academic stores unit, with a demonstrated understanding of the technical requirements of a store's operation including purchasing, inventory maintenance, shipping and receiving, distribution, bookkeeping and records management
  • Working knowledge of the University of Toronto financial rules, guidelines and processes, including its financial and procurement processes and good knowledge of the Ontario Broader Public Sector (BPS) Procurement Directive
  • Experience obtaining quotations and reviewing and processing purchase orders
  • Experience handling scientific/chemical lab supplies inventory, including managing inventory system
  • Experience coordinating the safe disposal of chemical and biological waste and expired chemical products
  • Experience working with a point of sale system.
  • Experience providing excellent customer services to student, faculty, customer, and vendors
  • Experience generating Financial reports.
  • Experience updating websites
  • Strong proficiency with Microsoft Office 365 suite applications (Excel, Word, PowerPoint, Outlook, One drive, Share point, etc.)
  • Familiarity with Chemistry store materials and equipment.
  • Excellent written and verbal communications skills, along with demonstrated customer service skills including diplomacy and tact
  • Good judgment and decision making skills and demonstrated ability to work in a varied and fast paced work environment
  • Demonstrated ability to apply safety guidelines to a variety of chemical safe handling and storage situations
  • Accuracy with figures and the ability to exercise sound
  • Must be able to lift up to 25 kg and use standard lifting equipment to lift heavier items
  • Must have the physical stamina to effectively carry out the duties associated with the position, as this position involves considerable lifting, walking, standing, climbing ladders, crouching, squatting and reaching.


Assets (Nonessential):


  • Must have the following certifications / training or be willing to be trained: Transportation of Dangerous Goods certificate as a shipper/receiver, WHMIS, biosafety, compressed gases and cryogenic safety, chemical spill response, and hazardous waste management.
  • Preferences will be given to applicants with experience working in Chemical Stores and knowledge of its operations in a University or private sector setting
  • Education or strong knowledge of Chemistry.
