Position Summary:
Reporting to the AVP, International, this position acts with discretion and confidentiality to provide executive level administrative support for UR International in the following areas:

- Serves as the primary point of contact for the office of the AVP, International to all internal and external University stakeholders and partners;
- Responsible for coordinating efficient and effective office operations in the areas of reception, correspondence, secure and confidential safekeeping of information, and accurate creation and implementation of human resource and financial policies and procedures;
- Responsible for efficient and effective management of the AVP, International’s calendar and commitments with discretion, accuracy and diplomacy;
- Compose, review, and/or edit confidential correspondence including, but not limited to emails, letters, meeting/committee minutes and agendas, memos, reports;
- Provides regular briefings on logistics and context of the AVP’s commitments, including but not limited to reports, correspondence, data, meeting/committee minutes, meeting requests;
- Provide support to Leadership and to URI’s administrative team on all internal and University policies and procedures;
- Responsible for monthly financial tracking, reporting, processing and reconciliation for the office of the AVP, International;
- Responsible for coordinating the administrative functions human resource procedures for the office of the AVP, International;
- Responsible for maintaining general accurate and current information on URI’s website; and,
- Perform other duties as assigned.
Position Requirements:
- Grade 12 supplemented by the successful completion of a recognized business/administrative course combined with a minimum of five years’ progressively responsible experience preferably in a university environment. An equivalent combination of education, training, and experience may be considered;
- Financial experience is necessary; demonstrated knowledge of generally accepted accounting principles, procedures, and processes;
- Proficiency in using electronic mail, Microsoft word, Excel, PowerPoint, scheduling software, and Acrobat Reader is vital in this role;
- Ability to work as part of a team as well as independently in a high pressure, fast-paced environment where multi-tasking, confidentiality, and prioritization is required;
- Knowledge of educational institutional structure, policies, procedures and programs is an asset;
- Knowledge of competent planning and scheduling techniques, systems and software applications, such as email, financial and human resource procedures is preferred;
- Knowledge of University policies and procedures relating to expenditure protocols, budget process, financial services, human resources policies and procedures, and university business travel protocols in order to effectively provide advice and manage schedules in these areas is an asset;
- Strong interpersonal and intercultural communication skills and the ability to work effectively with a wide range of constituencies (faculty, staff, students, the public, local, national and international entities) in a diverse community;
- Demonstrated ability to exercise initiative, sound judgement, discretion, confidentiality and diplomacy;
- Demonstrated skills in prioritization, organization, record keeping, time management, attention to detail are required;
- Demonstrated experience working in a diverse environment and ability to communicate effectively in a cross-cultural, multi-lingual professional environment;
- Demonstrated experience in providing mentorship and leadership in the area of office management is required; and,
- Ability to speak fluently in another language is an asset.
Monday to Friday: 8:15 a.m. – 4:30 p.m.
This position is in a very busy office, flexibility in normal hours of work may be anticipated in order to manage workload. May require to work some evenings and weekends.
