Reporting to the Associate Director, Program Delivery, the Administrative Assistant provides general support to the registration and enrollment portfolio of Open Enrolment Programs. As a member of the Executive Programs team, the Administrative Assistant must practice professionalism and sound judgment in all interactions while maintaining high service standards as defined by Executive Programs. The individual will abide by Executive Programs and Rotman’s set of values in how they interact with clients, faculty and staff. Also essential; a strong customer service orientation, highly developed organizational skills and the ability to multi-task.

Your responsibilities will include:

  • Acting as the first point of contact for general enquiries
  • Responding to enquiries within the defined scope of the role and redirecting as appropriate
  • Resolving minor complaints within the scope of the role and referring larger issues when appropriate
  • Identifying and retrieving missing or mismatched materials and/or information
  • Booking rooms and arranging appropriate accommodations
  • Ordering supplies within established limits
  • Liaising with contacts to ensure consistent administration procedures are followed
  • Maintaining a database


Essential Qualifications:


  • College Certificate or equivalent or acceptable combination of equivalent experience.
  • Minimum two (2) years with general office experience, including work withrecord systems and office productivity tools (e.g. Word, Excel)
  • Previous customer focused experience in a high volume environment, preferably in a business enviornment
  • Experience with fast and accurate data entry
  • Strong demonstrated working knowledge of MS Outlook, Databases and MS Office including Access, MS Word, PowerPoint and Excel
  • Strong communication skills; problem solving, and customer service skills.
  • Ability to learn and adapt to new advances in technology.
  • Excellent interpersonal and communication skills.
  • Must have strong written and verbal communication skills as well as excellent customer service skills.
  • Must be able to multi-task in a fast-paced environment.
  • Ability to work to deadlines under pressure, as well as the maturity and poise required to interact with senior executives.
  • A strong team player with sensitivity to various levels of expectation from corporate executives, faculty, staff and suppliers.
