About this opportunity:
Reporting to the Director Risk and Insurance, the Administrative Assistant will interact as a liaison with executive staff members as well as business representatives from across the company. The successful candidate will be responsible for coordinating information, programs, meetings and managing schedule(s). The Administrative Assistant will organize substantial domestic and international travel ensuring all details are effectively planned and communicated, and general administration, including meeting and events organization, onboarding new team members, supporting internal reporting requirements, meeting preparation, processing of expenses and other major projects

Responsibilities:
  • Provide confidential assistance with file management, printing requirements, incoming and outgoing email, scheduling appointments, calendar conflicts and maintaining daily calendar.
  • Coordinate meetings, functions, and special events, including securing locations, determining food and beverage menus, selecting entertainment and determining transportation logistics.
  • Coordinate domestic and international travel arrangements.
  • Proactively anticipate the needs of the executive and their leadership team.
  • Initiate and distribute internal correspondence related to company-wide communications, meeting agendas, meeting minute notes, corporate training requirements or policy updates.
  • Manages logistics and develops content for weekly, monthly, and annual meetings as an active member of the Leadership Team.
  • Coordinate new hires, employee changes, office moves, etc.
  • Proactively seek out and undertake training opportunities related to corporate initiatives and new technology or processes and passing that knowledge onto other staff as needed.
  • Assist with administering department budget and workforce plans working closely with Finance, Tax, and other partners.
  • Order office supplies as needed.
Qualifications:
  • Minimum 5 years of office experience with high level executives
  • Strong organization skills, with the ability to set priorities, follow-up and meet deadlines.
  • Ability to communicate with all levels of the company and external contacts
  • Excellent proofreading, editing, and business writing skills.
  • Excellent presentation preparation skills
  • Ability to handle sensitive and confidential information.
  • Displaying tact and good judgment in resolving problems and answering inquiries
  • Ability to work independently in a fast-paced, varied, and diverse environment with changing priorities
  • A high degree of initiative and self-motivation
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), SharePoint Online
