Position Purpose
This role is responsible for managing day-to-day operations of the Mississauga Headquarters. This role will directly manage all aspects of the office to ensure smooth running of the office but also provide support for special events or occasions. The Office Coordinator is tasked to deliver excellent customer service, drive cost efficiencies and provide support to the employees, contractors, guests on locations. This role will also lead the development and implementation of effective, sustainable processes and solutions to support the needs of the business. This role will also act as champion for Zero Harm.
Hours of work
This is a part time position, likely 12-15 hours per week. You must be available to work between 8:30am to 5:00pm from Monday to Friday. The times are flexible that you work in most cases or per your manager's direction.
Major/Key Accountabilities
  • Ensure the management of all day-to-day interaction with CHEP in Mississauga Headquarters
  • Schedule/coordinate work hours and coverage as needed based on regular flow of staff and special events
  • Establish supply accounts for all field users and approve orders when necessary
  • Ensure that CHEP is receiving the best pricing and seek other vendors when necessary
  • Ensure that bills are paid on time and are within budget as well as entered through SRM, Coupa and Concur
  • Maintains and keeps up to date CHEP Canada office badging and security system
  • Handles all employee moves and Remedy tickets
  • Coordinates space planning for the building
  • Creates PO’s for all building invoices in SRM and Concur
  • Provides customer service to all CHEP employees
  • Responsible for stocking of fridges and coffee stations
  • Setting up and Cleaning after lunches/meetings
  • Shipping various boxes/letters to various CHEP locations across Canada (ie: PCN notes)
  • Responding to employees and vendors requests in the office and via phone
  • Meeting with vendors on site if required
  • Running to Costco or other supercenters to do for example last minute shopping (and regular shopping)
  • Stocking up and ordering cleaning supplies for our cleaning crew
  • Managing our Customer Experience Area (Purchasing and stocking up the Nespresso machine and Snack bar)
  • Stocking up all fridges with pop, milk and cream
  • Helping in decorating office during various Holidays (especially Christmas season)
  • Participant and overseer of the Joint Health and Safety Committee for the office, including monthly walk arounds and safety risk identifications
  • Administrator for Staples link
  • Partner with CLT to anticipate and prepare for events and customer visits and ensure the office and beverage centres are stocked accordingly
  • Provide support to Executive Assistant with adhoc requests as needed
Qualifications
  • Excellent interpersonal and communication skills (i.e. Customer Service skills)
  • Strong ability to multi-task
  • High school diploma required (college degree not required, but recommended)
  • Ability to work overtime if needed
  • Coaching skills
  • Prior management experience a plus

Ce poste est responsable de la gestion des opérations quotidiennes du siège social e Mississauga. La personne titulaire de ce poste gérera directement tous les aspects du bureau, afin de garantir le fonctionnement harmonieux du bureau au quotidien. La personne titulaire de ce poste sera également à la tête du développement et de la mise en œuvre de processus durables et efficaces, et de solutions en soutien aux besoins de l’entreprise. Elle agira également à titre de défenseur-e de « Dommage zéro ».
Principales responsabilités
  • Assurer la gestion de l’ensemble des interactions quotidiennes avec CHEP au siège social de Mississauga
  • Planifier/coordonner les heures de travail et la couverture requise en fonction du flux régulier du personnel et des événements spéciaux
  • Établir des comptes d’approvisionnement pour tous les utilisateurs sur le terrain et approuver les commandes, au besoin
  • S’assurer que CHEP obtienne les meilleurs prix et trouver d’autres fournisseurs, au besoin
  • Veiller à ce que les factures soient payées à temps, à ce qu’elles respectent le budget, et qu’elles soient consignées dans SRM, Coupa et Concur
  • Maintenir et tenir à jour le système d’insignes et de sécurité de bureau de CHEP Canada
  • Traiter les déplacements des employé-e-s et les tickets
  • Coordonner la planification des espaces dans le bâtiment
  • Créer des bons de commande pour toutes les factures concernant le bâtiment, dans SRM et Concur
  • Fournir du service client à tou-te-s les employé-e-s de CHEP
  • Responsable de l’approvisionnement des réfrigérateurs et des coins-café
  • Organiser et nettoyer après les lunchs/réunions
  • Expédier différents colis et lettres à divers enplacements de CHEP au Canada (par ex. : Notes PCN)
  • Répondre aux demandes des employé-e-s et des fournisseurs, au bureau et par téléphone
  • Rencontrer les fournisseurs sur place, au besoin
  • Magasiner chez Costco et à d’autres enseignes pour faire des achats de dernière minute (et des emplettes régulières)
  • Stocker et commander les fournitures de nettoyage nécessaires pour notre équipe d’entretien
  • Gérer la zone d’expérience client (achat et réapprovisionnement de la machine Nespresso et du snack-bar)
  • Approvisionner tous les réfrigérateurs de boissons gazeuses, lait et crème
  • Aider à décorer le bureau lors des différentes fêtes (tout particulièrement pendant la saison de Noël)
  • Participer au comité de santé et sécurité conjoint et superviser ses activités pour le bureau, notamment les inspections mensuelles et l’identification des risques à la sécurité
  • Administrateur/administratrice du lien avec Staples
  • Partenaire avec CLT pour l’anticipation et la préparation des événements et des visites clients, et pour s’assurer que le bureau et les centres de boissons sont correctement approvisionnés
  • Fournir du soutien, au besoin, à l’adjoint exécutif/l’adjointe exécutive, en lien avec les demandes ponctuelles, le cas échéant
Qualifications
  • Excellentes aptitudes interpersonnelles et de communication (par ex. : compétences en service client)
  • Solide aptitude à gérer plusieurs tâches simultanément
  • Diplôme d’études secondaires requis (diplôme d’études collégiales non requis, mais recommandé)
