The Events Associate, reporting to the Events Manager, will be responsible for planning, co-ordinating and executing a variety of virtual, hybrid and in-person initiatives such as Career Discovery Expos, DEI series and workshops. They will be required to create and manage project workback schedules, maintain streams of communication with event vendors, generate budget proposals and produce post-event reports for internal and external stakeholders. They may also be asked to lead special projects that coincide with Build a Dream’s project portfolio and support the Marketing and Sponsorships team when necessary. The ideal candidate for this position, thrives in a fast-paced work environment, is experienced with managing client relationships, possesses a proactive solutions-oriented approach, and is a team player.

RESPONSIBILITIES AND DUTIES

  • Troubleshoot and resolve real-time service issues during live events
  • Create technical and service issues guidelines
  • Coordinate and execute virtual and in-person events and seminars from start to finish - including planning, budget management, logistics, tracking, creative components to event onsite support and post-event reporting ensuring logistics are executed seamlessly
  • Support the Event Manager with the development of project plans for new event initiatives
  • Host live virtual events and multimedia productions
  • Work with the Project and Event Associate to develop event content and speakers that align with our key focus areas: Skilled Trades (Construction, Motive Power, Industrial), STEM (Science, Technology, Engineering, Math), Emergency Response (Police Fire, EMS), Entrepreneurship, Empowerment, Equity and Diversity and Inclusion
  • Source, negotiate, co-ordinate and maintain strong relationships with suppliers and venues
  • Other duties as assigned

QUALIFICATIONS

  • Degree or Diploma in Hospitality/Event Management, Business and/or a related field, an asset
  • 1-3 years of relevant event experience
  • Fluent written and spoken English is required, with strong business communication skills.

SKILLS

  • Enjoys working in a fast-paced team environment, with the ability to perform and handle multiple assignments simultaneously with efficiency and accuracy, have excellent customer service skills and a positive attitude.
  • Well-developed time management skills: highly organized, efficient, and detail oriented.
  • Responsible and able to work both independently and with project teams for individual events.
  • Highly proficient levels in MS Excel, Word, PowerPoint, Outlook and strong technical knowledge and experience in producing virtual events on various digital platforms.
  • Excellent communication skills (written and verbal) and presentation skills
  • Experience with CRM platforms, digital communications software and virtual event platforms
  • Sound knowledge of marketing on social media platforms
  • Demonstrated knowledge of event management, principles and techniques
  • Proven proactive and creative thinker
  • Commitment to customer service (internal and external)
  • Ability and available to travel nationally
