Job Description

The incumbent receives and processes incoming and outgoing mail, and maintains files in accordance with National Records Management Standards; provides service to convenience photocopy machines; operates high-speed electrostatic copiers, mail processing equipment and duplicators.


All or part of the following duties may be required to be performed depending on the size and location of the function.

Job Responsibilities

Below are the main job requirements and responsibilities for the Clerk, Support (Office Services)


  • Receives and processes incoming and outgoing mail; sorts, opens and identifies correct station for delivery. Weights and meters outgoing mail, prepares and checks packages or bulk mailing for transmission by courier or mail. Delivers large items (parcels) to different departments. Advises and guides clients to use best practice/procedure for efficient mail processing and supports or recommends changes to improve efficiency.


  • Distributes information or publications throughout the Division to ensure that all employees entitled to each publication receive it within the datelines set: prints or copies the materials, ensures proper distribution list is used, updates the distribution lists and ensures pre-addressed envelopes are up to date. Maintains copies of each publication to meet extra demands without delays. Operates equipment such as label affixers, postage meter, computer, computerized direct impression printers and other types of various equipment used in the distribution unit.


  • Organizes and maintains a designated block or series of files in accordance with National Records Management Standards. Provides all requested files, identifies, arranges and files papers on appropriate file and arranges for the disposal of classified waste.

Job Responsibilities (continued)

  • Provides service to convenience photocopiers to ensure proper running order is maintained. Checks machines to determine cause of breakdown and undertake minor repairs to correct malfunction such as jams. Reports copy usage on a monthly basis. Supplies paper and toner and requisitions and controls supplies necessary to provide service.


  • Operates high-speed photocopiers, and other equipment. Performs routine maintenance as recommended by equipment manufacturers and requests service by the manufacturer when required. Operates facsimile, photocopiers, expedited mail systems, folding and inserting machines, sealing and mailing equipment, printers, heavy duty paper drills.


  • Maintains statistical records, logs for servicing photocopy machines and answers telephone inquiries.

Qualifications

Education

  • Completion of secondary school according to provincial standards or equivalent (GED) is required


Experience

  • No previous work experience is required.

  • High degree of competence in Microsoft Office Suite of software, especially Microsoft Outlook, Excel and Word.

  • Knowledge of safety procedures inside and outside of facility
