Tri-global Solutions Group Inc. is seeking one (1) Intermediate Records Management Specialist to join our Environment and Parks Delivery team at Service Alberta (Government of Alberta) to support Records Management.

The successful contractor(s) have an anticipated December 12, 2022, start date for an initial 3.5-month contract (ending March 31, 2023 - aligning to Government year-end) with 12-month extension available (total contract term up to 15.5-months).

NOTES ON LOCATION: Resource will work remotely. Remote work must be done from within Canada, due to network and data security policies. Client is located in Edmonton, AB. Standard Hours of work are 08:15 -16:30 Alberta time. The candidate will require their own equipment (laptop).

PROJECT OVERVIEW

For Ministry of Environment and Parks (Government of Alberta). Clean up, validate and improve Contaminated Sites and Remediation records and data quality in the Environmental Management System and ECSS to support transition to Digital Regulatory Assurance System.

This work will enable efficiencies in file review by Contaminated Sites and Remediation subject matter experts to be realized. This work will also ensure the ability to access information required through FOIP requests is easily discoverable by the FOIP office and that records are fulsome representation of actions taken to manage contamination at the site.

DESCRIPTION OF SERVICES

The records management specialist assists with the creation (making new files, amending the file structure), maintaining (ensuring file integrity, accustom those authorized, tracking of records, etc.) and disposition (ensuring that active records are separated from closed and inactive records, applying the appropriate schedules to records and finally ensuring the final disposition takes place, destruction or permanent); and image-based quality review of imaged records for compliance and risk management.

Duties will include the following but are not limited to:

  • Interpreting Record Retention and Disposition Schedules to determine appropriate retention and final disposition.
  • Paper and electronic filing; and creating new files as required.
  • Receiving, sorting and document preparation of incoming correspondence.
  • Retrieval of routine requests for records.
  • Use of electronic systems associated with updating and control of active and inactive records.
  • Reviewing files and inventory lists for accuracy.
  • Assisting with record conversion projects.

MANDATORY SKILLS

M1. Proposed resource must have high school diploma. Directly related experience or education considered on the basis of: one year of experience for one year of education or one year of education for one year of experience (1+ year)

M2. Proposed resource must have 2-3 years of records management experience (2+ years)

M3. Exceptional organizational and communication skills (2+ years)

M4. Basic knowledge of Government of Alberta Records Management legislation, regulation, policies and procedures (2+ years)

M5. Strong attention to detail and computer skills (2+ years)

M6. Familiar with interpreting and applying records retention and disposition schedules (2+ years)

M7. Familiarity of Records Management/Document Management Software (2+ years)

M8. Creativity and flexibility in order to adapt to various tasks (2+ years)

DESIRABLE / NICE TO HAVE SKILLS

D1. Basic knowledge with Government of Alberta systems: EMS, ECSS and SPIN2 (1+ year)

D2. Basic knowledge in data entry and ensuring meta-data integrity (site name, site location, etc.) (1+ year)
