Under the direction of the Manager of Records and Registration, the incumbent is a member of a team which provides a comprehensive range of support services within the Office of the Registrar to advise, guide and support a diverse population of domestic and international students. As a records expert, the incumbent provides specialized student record services including: maintenance of accurate Student Information System (SIS) records throughout the life cycle of the student, from enrolment through to graduation, according to academic policies and procedures, and Ministry of Colleges and Universities (MCU) regulations; provides direct support to students, faculty, and staff on various complex registration matters, and ensures compliance to academic policies and procedures; analyzes and verifies records for accuracy in support of Enrolment and Graduation Reporting to the Ministry.

What You’ll be Doing

Managing student, Academic Faculties, and department enrolment activity for both course-based and block-based programs, that are time sensitive in nature through a variety of channels;
Responding to client issues involving course and timetable changes, course adds and drops, program withdrawals, and advanced standings while at the same time analysing each situation and providing the most current and accurate information to the client;
Acting as the records and registration subject matter expert for academic faculties and service departments, and works collaboratively with these areas to offer the best possible student service and to ensure student success;
Processing student enrolment and Ministry Audit records while working within established timelines and accurately interpreting and applying academic policies and procedures;
Assessing the students’ eligibility for readmission to a program and eligibility for graduation;
Assessing students’ progress in programs from term to term based on the academic standing policies and established requisites and identifying trends or variations in enrolment patterns that may affect the enrolment plan;
Ensuring student enrolment records are validated by proactively researching, analyzing and updating the Student Information System (SIS) in response to external reporting requirements for the College;
Performing other related duties as assigned.

The successful candidate will meet the following qualifications:

3-year diploma/degree in education, social sciences, information technology, business administration, or a related field, along with 3 years of relevant work experience in an education environment processing complex, specialized information (Equivalencies to be considered).
Proficiency in operating a computer and relevant software packages as well as functional knowledge of a Student Information System (SIS) (Qless) is required.
