The position of Receptionist & PO Clerk will provide finance and administrative support to the Aero Rental Services operations. This position is located in Clairmont, AB, but it supports our Red Deer, AB, Clairmont, AB, and Fort St. John, BC, locations; and it reports to the Base Manager located in the Clairmont, AB office. Duties will include reception coverage, general administrative and safety administrative support.
Essential Duties and Responsibilities

  • Handle front office reception and telephone by greeting visitors and connecting callers with appropriate employees
  • Provide mail support: deal with couriers and the post office, stamp and sort incoming mail, mail outs for departments as required
  • Maintain postage, copiers, fax machines supplies and levels
  • Order office supplies in a cost effective and timely manner
  • Support Area Manager with administrative duties and tasks as required
  • Communicate effectively with customers, vendors and coworkers
  • Work closely with operations personnel in a support role
  • Enter & receive PO’s in Great Plains for the Red Deer, Clairmont & Fort St. John locations
  • Code non-PO invoices as required
  • Contact vendors on a monthly basis to follow up on any older PO’s
  • Help resolve problem PO’s or invoices
  • Create monthly PO accrual
  • File paperwork as needed
  • Check through and code all expenses for employees
  • Maintain & file all HSE records for the Red Deer, Clairmont & Fort St. John locations as well as document all safety meetings.
  • Update phone lists
  • Organize workload and set priorities in order to meet administrative deadlines
  • Demonstrate a personal commitment to Quality, Health, Safety and the Environment
  • Demonstrate an ongoing commitment to high quality products, services and customer satisfaction
  • Maintain a clean and presentable reception area and office
  • Enforce and adhere to all Western Energy Services Corp. policies and procedures, including all QHSE standards and policies
  • Assist with other related duties as assigned

Specific Knowledge, Skills and Abilities

  • Minimum of Grade 12 education
  • Proficiency with Microsoft Word/Excel/Outlook
  • Telephone and front office reception experience required
  • Secondary accounting training would be an asset
  • Some administrative experience within the oilfield service industry would be an asset
  • Familiarity with Great Plains would be an asset
  • Customer billing experience an asset
  • Self-starter requiring little direct supervision
  • Familiarity with oilfield equipment and terminology would be an asset
  • An understanding of the accounting cycle would be an asset
  • Punctual work habits
