JOB SUMMARY

You love health care clinic operations and making systems better. You love helping people problem-solve and create efficiencies in their workflow along with processes. You are a research and technology nut as you love to dig to find solutions that a clinic operation would need to run smoothly.

You find improvement opportunities when needed and you are confident to ask for help if you don’t know. You have knowledge of how a clinic is run and understand that not all challenges have a “fix all” solution but will work with our members and staff to support their needs in the practice supports realm.

You are comfortable working in a small team that provides exceptional customer service to our physician and provider members. You are comfortable with change and embrace the continuous improvement benefits change brings.

As per our COVID vaccination policy, all staff and contractors must have full COVID-19 vaccination (have received a full series of a World Health Organization “WHO” approved vaccine against infection by SARS-COV-2, or a combination of approved WHO vaccines) and show proof of vaccine.

Divisions of Family Practice is an initiative of theGeneral Practice Services Committee(a joint committee of the BC Ministry of Healthand Doctors of BC)*. The Ridge Meadows Division of Family Practice (RMDFP)*operates as a nonprofit society. Incorporated in 2010, it serves the Maple Ridge and Pitt Meadows area. RMDFP provides its 130 members with a strong voice to ensure that our members are at the forefront of positive change in our healthcare system.

AREAS OF RESPONSIBILITIES

Big Picture
Responsible for contributing and supporting the organization's annual Strategic Planand organization goals to success by working with the staff team and being responsible for supporting practices in clinic operations.

Practice Improvement Responsibilities

In a supporting role with the staff project body team and practice supports leadership team, duties include, but are not limited to working with a variety of practices and clinics to better their practice efficiency in our community including family practice, maternity, hospital, long term care, primary care network wellness center, Foundry, walk in clinics and more.

Practice Improvement Coordinator Will:

  • Develop relationships with members and clinics in the community.
  • Steward and work in collaboration with partnerships to achieve best practice improvement outcomes
  • Support family physicians with Electronic Medical Record (EMR) optimization, processes, and functionality enquires adhering to confidentiality terms.
  • Help clinics optimize their practice efficiency and improve clinic operations in a way that benefits their businesses.
  • Embed an energetic support approach in all aspects of work.
  • Determine office needs related to workflow and/or clinical practice and help implement action plans to enhance current office processes, in collaboration with the family physicians and their staff.
  • Source appropriate physician practice equipment and administrative supplies. E.g. Bulk purchasing, covid essentials
  • Support MOA’s in the workflow of clinics and assist with Human Resources issues.
  • Provide excellent and courteous support to practices + clinics
  • Work with staff and leadership team to develop programs, processes and procedures;
  • Anything else that comes up or that you think would benefit the clinics in our region
  • Support and/or lead other work pieces assigned.

WORKING CONDITIONS

The Practice Improvement Coordinator requires availability to work from Monday to Friday, in office, during regular working hours between 8 am – 6 pm, with the flexibility of attending early morning, evening and/or occasional weekend meetings to accommodate physician’s schedules. Travel may be necessary across the Maple Ridge and Pitt Meadows region and reliable transportation is required.

An alternative work schedule could be opted in of averaging your work hours from Monday to Thursday, in office after 3 months, with a proven record of meeting deadlines, outcomes and displays professional conduct.

QUALIFICATIONS

  • Minimum 5 years of Clinic Office Management experience
  • Collaborative team leadership style with exceptional interpersonal communication, relationship building and problem-solving skills
  • Excellent organizational skills and ability to prioritize and manage multiple tasks to meet deadlines with quality output
  • Adept at presenting complex information and recommendations in simple, clear summaries, both verbally and in writing
  • Knowledge of medical billing and payment models.
  • Knowledge of the BC healthcare system and experience working in a primary healthcare setting or experience working with physicians and/or allied health care providers is an asset
  • Proficiency with Microsoft Office suite (Word, Excel, PowerPoint)
  • Collaborative team leadership style with exceptional interpersonal communication, relationship building and problem-solving skills
  • Exceptional interpersonal, written and verbal communication skills.
  • Strong task and time management skills.
  • Proven diplomacy, tact, empathy and understanding of sensitive and confidential issues.
  • Valid driver’s license with access to a vehicle for local travel.

This Practice Improvement Coordinator rate range is $24-28/hour depending on experience and opportunity to grow. Group benefits with medical, dental and life insurance start after 3 months. Vacation starts at 2 weeks and increasing to 3 weeks after three years and five years of employment.

It is not uncommon to work a 4-day work week, flexible schedule, after completing your 3-month probationary period, with proven ability to meet outcomes, deadlines and displaying professional conduct.

You will have the opportunity to volunteer to support the Maple Ridge and Pitt Meadows communities with our team or individually.
