About Us
The Transitional Year Programme (TYP) is a full-time, eight-month access-to-University program geared for adults who do not have the formal qualifications for university admission. The program was established in 1970 and has helped hundreds of students over the 50+ years, making it one of the long running access programs in the country.

Most TYP students come from communities where only few people have access to higher education. The programme is primarily for individuals who did not have an opportunity to complete high school and earn the necessary credits due to various barriers beyond their control. TYP’s programming provides access to an academic advising, counselling, funding options, space to work, socialize, and connect with other students in their program. The programme also gives students full access to University of Toronto services, supports and resources available to full-time or part-time university student.
TYP has committed and highly qualified faculty who prepare students for university degree studies by upgrading their skills and knowledge in academic courses.

Purpose
As the Outreach Coordinator, you will oversee the planning and implementation of effective outreach strategies to recruit students and help to determine appropriate schools or community-based organizations to visit based on an analysis of feedback and recruitment trends. You will manage the admission and student orienting process by assessing applications for admission to TYP in accordance with admissions policies and enrolment goal and supporting student registration and orientation programming. You will be responsible for increasing the visibility of TYP in surrounding communities and establishing community partnerships and fostering and maintaining a network of external contacts.

In addition, you will advise on and implement a robust communications strategy that showcases the broad range of programs and advocacy work at TYP. This strategy will include short-to medium-length news pieces, social media, departmental newsletters, and other types of publications, as well as outreach to alumni audiences. You will independently and confidently take stewardship of all aspects of the communications portfolio, working collaboratively as part of our administrative team while also nurturing relationships with faculty members, campus services, and community organizations. Your communications plan will play a central role in highlighting the achievements of TYP, while also elevating the broader impact of our work on equity and access to mature adult learners of diverse communities in the GTA.

Your responsibilities will include:

  • Developing and implementing communication plans that support outreach goals and department objectives.
  • Conducting interviews with individuals for internal publication and for producing promotional and outreach materials.
  • Advising on strategies to maximize social media presence and growth and creating and maintaining presence on social media platforms.
  • Customizing and coordinating website updates according to objectives.
  • Delivering presentations outlining proposals to attract sponsorship opportunities.
  • Training staff and faculty on the application of social media and content management systems.
  • Building and strengthening relationships with stakeholders and partners of strategic importance.
  • Designing, creating, and delivering students recruitment presentations and marketing materials (both digital and print).
  • Conceptualizing, organizing, and executing outreach activities such as information sessions, open houses, and community group visits.
  • Conducting post-event evaluation and analysis.
  • Promoting programs at internal and external community and education events.
  • Tracking and monitoring recruitment and outreach activities.
  • Fostering positive relationships with prospective students.
  • Advising potential applicants, students, parents, and/or guidance counsellors on admissions criteria and processes by probing and providing a range of options.
  • Interpreting academic regulations, program and degree requirements interviewing program applicants.
  • Coordinating admission committee, ensuring standardized admission procedures are met, and providing detailed explanations of admissions decisions to applicants.
  • Coordinating student orientation programming
  • Overseeing the data collection and analysis processes of application selection process.
  • Assist implementing plans and process improvements for records administration activities such as updating student records for applicants and registered students.
  • Implementing plans and process improvements for registration and enrolment activities.
  • Maintaining a calendar of outreach activities, including community events, workshops, appearances, and other communication opportunities.
  • Following rules and procedural processes related for Freedom of InformaXon and

ProtecXon of Privacy Act (FIPPA).

Qualifications Required
Education:

Bachelor’s Degree or an acceptable equivalent combination of education and experience.

Experience:

  • Minimum four years recent and related experience in community-based outreach or undergraduate student recruitment and/or admissions environment within a large post- secondary institution.
  • Experience developing relationships/ networks for collaborative partnerships.
  • Experience with data collection and generating reports.
  • Experience developing and implementing communications strategies and plans.
  • Proven experience writing concisely and to deadline; conducting interviews, writing news and feature stories and speeches.
  • Experience making recommendations for improvements based on insights, best practices and objectives.
  • Experience creating and deploying digital materials (newsletters, social media, and web content), and effectively utilizing digital metrics.
  • Proven event planning experience in a community or post-secondary institution for outreach and recruitment purposes.
  • Good knowledge of educational systems, non-profit/ community organizations, and social services.
  • Demonstrated experience counselling and advising prospective students and current students on academic matters.
  • Experience developing and presenting content to diverse groups.
  • Experience building and maintaining strategic partnerships with internal and external stakeholders.
  • Demonstrated experience using content management system, web analytics and e- newsletter software.
  • Experience and knowledge of University of Toronto policy and procedures is preferred.
  • Experience creating and editing HTML and CSS code preferred.
  • Experience using a database preferred.

Skills:

  • Demonstrated excellent oral and written communication and presentation skills.
  • Demonstrate advanced skill with Word, Excel, Powerpoint, ROSI, and HTML including advanced proficiency with databases and spreadsheet applications.
  • Advanced proficiency in Microsoft Office 365, social media, content management systems, newsletter software, and Adobe Creative Suite.
  • Well-developed problem-solving skills.
  • Demonstrated organizational and time management skills.
  • Ability to interpret statistical data and reports.
  • Must be creative, resourceful and solutions oriented.

Other:

  • Knowledge of GTA adult schools and community organizations which offer academic upgrading and literacy training.
  • Excellent conflict resolution skills and the ability to work within a rapidly changing environment.
  • Excellent interpersonal skills and ability to work both independently and cooperatively within a team environment.
  • Familiarity with issues and trends in student recruitment.
  • Excellent knowledge of equity in post-secondary education.
  • Strong customer service, initiative, tact, diplomacy and attention to detail.
  • Demonstrated ability to manage workload and meet deadlines.
  • Proven ability to interact effectively with students and the public.
  • Flexibility and ability to adapt to changing policies and procedures.
