POSISITION SUMMARY

Working within the Health & Social Development Department, as part of a multi-disciplinary team, the Medical Office Assistant (MOA) will be responsible for providing front line support to employees and patients of the Medical Office. Support will be required at the Seabird Doctors Office.


The Medical office assistant provides support to doctors and other health-care professionals. You will perform a wide variety of clerical and administrative tasks. These include scheduling appointments, word processing, billing, data entry, filing, and answering telephone calls. You may also be expected to perform minor medical duties.


This is a part time term position working Mon, Wed, Fri from 9am-5pm.

WHAT YOU'LL DO

  • Use health software and other computer applications to book appointments or prepare reports, invoices, financial statements, letters, case histories, and medical records.
  • Interview patients to complete intake forms or other documents, or help patients' complete health history forms.
  • Transcribe handwritten notes, electronic dictation, or oral instructions.
  • Complete insurance and other claim forms
  • Submit billing claims
  • Process payments, bank documents, and accounts receivable
  • Set up and maintain records management systems, including classifying and coding electronic and hard-copy files
  • Operate complex office equipment such as voice mail systems, photocopiers, fax machines, and document scanners
  • Keep examination areas clean, orderly, and stocked with supplies
  • Perform minor medical duties, such as preparing the consultation room
  • Take vital signs and help with examinations
  • Building a relationship based on respect, and offer support, guidance, and direction when appropriate.
  • Being responsible for each person's safety in all situations; ensuring medical attention is sought, notifying those concerned e.g., fire, car accident, etc.
  • Must maintain professional conduct, boundaries, and ethical standards with a commitment to the principles and values of the First Nations Communities
  • Empathetic, compassionate, and patient
  • Regularly update client records in Mustimuhw database
  • Interacting respectfully and consistently with family, team, and community agencies
  • Other duties or responsibilities as assigned by your Supervisor, Manager, Director, or the ED

WHAT YOU BRING

Education

  • Medical Office Assistant Certificate is required, required other related Health related Education maybe considered if equivalent.
  • First aid, CPR & AED certificate required.
  • 2+ years’ experience working in a Medical Office Assistant role or other healthcare role setting required

Experience

  • Knowledge of Medical terminology
  • Typing speed of 50 WPM preferred
  • Successfully pass a tuberculosis screening
  • Proficient computer skills including Microsoft Office 365 Suite (Word, Excel, and Outlook)
  • Ability to develop and maintain a warm, caring, responsive relationship with clients
  • Ability to establish and maintain supportive and collaborative relationships with families and staff
  • Maintain confidentiality regarding clients’ families and staff members.
  • A positive professional and non-judgmental attitude
  • Good interpersonal skills and able to work effectively with co-workers.
  • Excellent verbal and written communication skills
  • Ability to adhere to Oath of Confidentiality and Seabird Island Band Policies and Procedure.
  • Knowledge and respect of Stó: lō culture, history, traditions and language is considered an asset.
  • Experience working with First Nations communities is considered an asset.
  • Valid BC Driver’s License, Class 5 & clean Driver’s Abstract *required for any business travel or SIB vehicle usage*
  • Satisfactory vulnerable Criminal Record Check

REPORTS TO: Medical Clinic Supervisor
