Eastern College is actively hiring an International Enrollment Support and Student Service Coordinator to work at our Saint John Campus Full-Time.

Compensation: $40,000/annually plus benefits

Major Purpose and Objective of the Position:

To ensure that students are able to effectively complete the enrolment process with education partner each start date.

To ensure the effective delivery of support services to all international students on campus. To coordinate services with campus staff, community partners and volunteers. Meet with students to help them effectively access the services and support that they require.

This role will initially focus primarily on student enrollment support and subsequently to welcome services and monitoring to ensure student health, safety, and well-being.

Dotted line: Regional Director of International Recruitment

Key Responsibilities:

Student enrollment support for potential new students:

  • Answer inquiries from potential new students.
  • Refer students who are outside of Canada to the correct agent that can assist them.
  • Work with students who are already in Canada to guide them through the application process.

Student pre-departure and arrival support and quarantine:

  • Ensure that students comply with travel requirements and Designated Learning Institution (DLI) requirements.
  • Coordinate with students to ensure that they have reviewed and understand all pre-departure requirements.
  • Assist students with making plans for food, medication and other needs during their stay.
  • Coordinate with students to ensure that airport pick-up transportation is arranged.
  • Ensure that students have their health insurance and other documentation in place prior to travel.

student wellness check-ins:

  • Maintain regular communication with students before and during travel, and upon arrival to Canada.
  • Coordinate all check-in calls with students.
  • Conduct check-in calls, using a variety of platforms, including phone and WhatsApp and MS Teams.
  • Teach students how to use MS Teams for video conference calls, as the preferred check-in methodology.
  • Monitor student health and wellness by asking questions.
  • Assist students with coordinating any of their needs, including ensuring access to medical services, food, etc.
  • Ensure that students are aware of how to access medical services and student mental health wellness phone line.

International student welcome services:

  • Plan and coordinate student pre-departure information sessions, working with education partners.
  • Plan student orientation event schedule and coordinate staff and community partners participation in the orientation.
  • Introduce students to all services available to them both on campus and in the community.
  • Coordinate student buddy program, pairing current students with new international students.

Tutoring and academic supports:

  • Work with the Campus Director to coordinate the peer assisted learning program, as well as professional tutoring programs with faculty.
  • Work with students to ensure that they are accessing tutoring resources when required.

Healthcare and disability services:

  • Manage the process to ensure that international students receive their health insurance cards and are aware of the health insurance coverage.
  • Identify healthcare professionals in the community and manage the communication and promotion of this information to the students.
  • Ensure students are made aware of the Mental Wellness Helpline.
  • Coordinate student disability services and ensure the availability of accessibility supports for students as required.
  • Help support the educational, physical, social, and special needs of students wherever possible.

Study and work permit information for international students:

  • Refer students to qualified third-party professional resources for questions regarding study permits, work permits and immigration matters.
  • Coordinate professional guest speakers and professional resources to be available on campus for student consultations.

Workshops, guest speakers, social activities and events:

  • Effectively communicate to students the services available to them, how they can access the services, and assist students with accessing them when required.
  • Organize guest speakers and community partners to deliver life skills workshops on campus (budgeting, tax preparation, sexual health, etc.).
  • Plan, organize, coordinate and promote activities to enrich the student experience throughout their time at school. Some examples of activities may include:
    • Organize cultural celebrations on campus (such as Canada Day, Thanksgiving, Christmas, Diwali, Holi Festival, Day of the Dead, India Republic Day, Chinese New Year).
    • Coordinate day trips for students (Provincial Parks, Magnetic Hill, Hopewell Rocks, Reversing Falls, Museums, Art Galleries).
    • Assist students in setting up student clubs (Toastmasters, International Women’s Club, Cyber Security, Robotics, Chess).
  • Research community volunteer opportunities for students and make students aware of these opportunities.
  • Support new initiatives to make the student experience fun.
  • Coordinate Student Ambassador program.
  • Promote activities and publish a calendar of events every month at the campus and on the student web.

Reporting:

  • Attend scheduled meetings with Campus Director and/or other Management.
  • Maintain daily student quarantine tracking reporting.
  • Track usage of student services.
  • Track attendance at events.
  • Assist with registration and tracking of optional Enhanced Language Training courses.
  • Ensure that ticket sales for any paid events are effectively coordinated.
  • Other reports as required.

Other activities:

  • Assisting students in accesses systems such as the student web and Brightspace.
  • Assisting students to connect with IT to resolve technical /connectivity issues as needed.
  • Assist with front desk duties occasionally.
  • Other tasks as required.

Knowledge and Skill REQUIREMENTS:

  • Understanding of current educational environment.
  • Very strong organizational skills.
  • Experience working with students or young adults.
  • Intermediate computer skills using Microsoft Outlook, Word, Excel, PowerPoint and Teams

EXPERIENCE:

Formal Education and Training

  • College diploma in a related field is preferred or the equivalent combination of education and experience.

Work Experience

  • Three to four years of administrative work experience in education or a comparable educational environment.
  • Experience coordinating group activities or events.
  • Experience in a student services setting working with students, preference will be given to those with experience working with or understand international student populations.

Key Relationships:


Business Relationships

  • Work with educational delivery partners to ensure that student services are adequately delivered.
  • Coordinate relationships with community partners, including hotel partners, housing partners, airport welcome service, airport transfer services, local transit, fitness facility, local newcomer centers, Service Canada, banking partners, local libraries, healthcare providers, counselling services, immigration consultants, and others.
  • Business and community organizations supporting student internship and job placements.

Communication

  • Excellent English communication skills, both written and verbal.
  • Group presentation, and meeting facilitation.

Problem Solving:

  • Refer students to the appropriate support services to address their needs.
  • Address student concerns or issues in a timely manner.
  • Troubleshoot any issues with events effectively and quickly.

Decision Making Authority:

  • Make decisions, within framework, regarding student quarantine plan approvals.
  • Assess when to escalate any student questions or concerns to Campus Director or other support staff.
  • Make decisions on what social events and activities to run and schedule the events and activities.

Physical Effort:

  • Some light lifting is required when setting up for events.
  • Valid Provincial Driver’s license, reliable vehicle and personal credit card are required.
  • Travel between New Brunswick campuses will be required.
  • Weekend and evening work is required for student check ins as part of the role.
