Specific Accountabilities
The human resource assistant is accountable to the manager, systems and reporting is the initial point of contact for all inquiries and requests into the area of human resources. The human resource assistant is responsible for providing advice and expertise on the administration of many elements of an employee’s total rewards package, i.e., benefits, pay cycles, seniority, etc. The human resource assistant is accountable for the administrative functions of maintaining employee transactions throughout the employee lifecycle with Saskatchewan Polytechnic. Through this accountability the human resource assistant provides direct support to the local human resource consultants and coordinators. The human resource assistant has considerable interaction with a variety of internal stakeholders and external service providers.

Duties
Administrative Management
  • Maintain employee records including data entry of human resources information system data stored in Banner and SAP and other electronic documents found on the human resource drives and websites.
  • Ensure employee files are maintained and that the proper documentation is stored as necessary.
  • Ensure data integrity by monitoring data reports and responding in a timely manner.
  • Conduct analysis of data (start dates, seniority, etc) to complete a variety of employee change events with accuracy i.e. premium payment during leaves, benefits eligibility, etc.
  • In collaboration with other stakeholders troubleshoot and find resolution for banner issues and challenges of the banner user system.
  • Ensure human resources service standards are met when prioritizing requests and tasks.

Client Service
  • Act as an initial responder to all inquiries into the human resource office, including requests that relate to employee status, employee history, employee entitlements, etc.
  • Explain, present, coordinate and process applicable employment documents for new and existing employees i.e. new hire packages including benefits forms, parking policy explanation, employee change events requiring documentation.
  • Prepare documentation and responses on behalf of human resources consultants for their final review and approval, i.e. letters of offer, request for approval forms.
  • Ensure all questions or inquiries directed at the human resources office are handled confidentially and professionally.

Relationship
Internal
  • Build and maintain relationships within the division to share information, ensuring consistency and continuous communication.
  • Act as a resource to campus human resources consultants and staff of other departments on all human resources matters, directing people to the appropriate resources.
  • Establish and maintain effective interaction with program and administrative offices across Saskatchewan Polytechnic ensuring services are communicated and responded to in a timely manner.
  • As an initial point of contact for the campus HR office anticipate potential problems, act to field concerns and resolve difficult situations with discretion and tact.

External
  • Build relationships with and respond to requests from external agencies, government and other educational institutions.
  • Provide point-of-contact service for external calls and messages for the campus human resources office answering queries and directing stakeholders to the appropriate internal resource.
  • Establish working relationships with external vendors to ensure service delivery for events conducted by human resources, i.e., travel arrangements, advertisement placements, facility and food and beverage coordination.

Event Coordination
  • Participate in coordination of Saskatchewan Polytechnic events as required.
  • Represent human resources at internal and external events, i.e., long service awards, career fairs.
  • Coordinate facility arrangements and food and service providers to ensure seamless presentation of events.
  • Develop and coordinate event and meeting agendas, invitations and response lists, and minute preparation as required.
  • Travel may be required.

Required Qualifications, Skills and Abilities (QSA)
A human resource certificate or diploma and one year of Human Resources experience or a combination of education and experience. An ability to demonstrate a high level of computer literacy, be willing to learn new programs and have intermediate knowledge of current MS Office software. Experience with HRIS applications is considered an asset.
