Golf Tournament Coordinator

The Tournament Coordinator will be responsible for supporting the Groups Sales Manager. Be the lead on administrative tasking and from time to time as required support the overall operation completing necessary tasks. The successful candidate will have strong communication and organizational skills and is comfortable making quick and creative decisions, and exceeding guest expectations while demonstrating a high level of responsibility for their own actions.

What you will be doing:

  • Reporting to the Golf Sales Manager, responsibilities and essential job functions include but are not limited to the following:
  • Consistently offer professional, engaging and friendly service
  • As part of the management team, being responsible to having one of the managers around for the entire day (morning and afternoon shifts)
  • May include working with local events, Men’s, Ladies and Junior Club captain to ensure an exceptional experience for our Club night events. Specifically ensure all bookings are properly reflected in the tee sheet, weekly draws are received and shared, appropriate sponsor signs, proximity markers are properly placed and removed and a starter is present to assist with collection and distribution of items
  • Once the Golf Sales Manger sells the group the tournament coordinator is responsible taking that group and making sure all aspects of the group are completed (meeting group organizers, being in communication with golf organizers, attrition schedule, hole contests, F&B requirements, players list etc)
  • Work with Hotel and non Hotel clients to organize, set up and run the day
  • Work as the committee champion to make sure all committees have representatives and do the monthly assignments
  • Execute all group contracts
  • Liaising with conference service and pre cons.
  • Champion of Golf Genius for scorecard creation, scoring of groups, producing hole contests, group listas and alpha lists.
  • Prepare and send out Golf GEO’s with all information needed to prepare for the day.
  • Liaise with the golf guest service supervisor and turf supervisor on duty to make sure cart set up and course set up are accurate
  • On tournament days, meet the organizers and liaise with them about any last minute changes to their day/draw
  • As requested assist golf departments with specific tasks in support of the overall operational needs for the necessary duration of time required
  • Other duties as assigned
  • Constant sitting for prolonged periods working on a computer work station
  • Some days where you are standing and walking throughout shift
  • Able to lift 60 lbs (heavy golf bag, retail boxes) and carry for up to 100 yards
  • Repetitive tasks and movements
  • Other duties as assigned

Qualifications


Your experience and skills include:

  • Previous experience in an administrative role is an asset but not required
  • Previous experience in the golf business is an asset but not required
  • Valid Driver’s Licenses and updated drivers abstract
  • Able to work flexible hours (early morning, evening and occasional split shifts)
  • Proficient in computer Programs (Microsoft Word and Excel, Reservation and POS systems). Previous use of the Golf Concept or Golf Genius software programs is an asset.
  • Excellent written and verbal skills with a high attention to detail required
  • Ability to deal with high-pressure situations in a fast-paced environment
  • Solutions-orientated, strong interpersonal skills and problem solving techniques
  • Highly motivated, career-minded team player who is guest driven with a passion to continually exceed expectations and anticipate needs
  • Previous work experience at Fairmont is an asset
