General Description:

To ensure that all aspects of the Décor Store operate smoothly and efficiently. To mediate any issues that may arise between Décor Staff, Clients, and Construction. To ensure that all Clients receive the highest quality of care and service once entering the Décor Store and while dealing with Décor Staff. To act as the liaison between Head Office and the Décor Store staff.

Duties & Responsibilities:

DÉCOR STORE OPERATIONS:

  • Ensure that the Décor selection process and Client interior finishes selections appointments run smoothly and efficiently. Provide overall insights geared to enhance the overall Purchaser experience and/or provide suggestions to improve processes.

  • Maintain the client’s branding initiatives within the Décor studio.

  • Oversee the distribution of all Change Orders, Colour Charts and Referral Forms to Décor Staff including review of Tier 1, Tier 2 appointments, Colour Charts and Custom Sketches.

  • Enter all Décor Store sales into our Client Lot Summary for closing adjustments.

  • Enter completion dates and check completed files for all Tier 1 and Tier 2 files.

  • Follow up on the status of files when the completion date is approaching.

  • Approving amendments adjusting purchase price and providing CFO with a copy of the Amendment, Mortgage Commitment, Client Lot Summary, Sales Profiler Options Selections, and proof of deposit from Newstar (Cost Ledger).

  • Review Sales OU when accepted APS is received. If there are any changes to the standard floor plan Décor Manager will ensure that updated drawings have been provided by either the construction team and or the VP of Sales and Marketing and ensure that model specific drawings are in place and then adjust Décor Tier 1 and Tier 2 files accordingly.

  • Ensure that the Décor Store is always clean, well-organized and that samples are current and on display in the proper areas.

  • Collaborating with Director of Construction and Contracts Coordinator to prepare Décor Pricing and applicable material for staff to facilitate smooth operation and sales process (books, info, forms, cut sheets, layouts (elec & kitchen) etc.) in advance of actual Décor Appointments

  • Approve all Change Order requests and run Décor Lot Details Reports for President and CFO.

  • Review project Product Libraries every 6 – 12 months (or as required) to update samples/colours and products based on new trends and what is selling.

  • Hold monthly Décor meetings (as required) with full-time staff and Décor Consultants to discuss issues and/or the progress of the Décor Store in conjunction with V.P. of Sales and Marketing and Director of Construction.

  • Attend bi-weekly Manager Meetings to ensure that all Décor team needs are in place and integrated. ]

  • Whenever possible conduct weekend visits to Décor Store – bi-monthly recommended.

  • ]Provide Consultants with commission PO’s and approve invoices once received and provide copy to accounting for processing.\

  • Provide direction to Décor Store Administrator to set-up calendars for consultant appointments based on construction scheduling and monitor appointment bookings.

  • Assist in custom quoting and ensure that necessary quotes are obtained from construction team in a timely manner

  • Provide input to design team including other staff and Architects (as required).

  • Review and preparation all Electrical Layouts, Model Mark-Ups and Kitchen Layouts including comparing same to Working Drawings.

  • Coordination and completion of inventory lots’ Tier 1/Tier 2/Colour Charts as requested and in conjunction with VP of Sales and Marketing and/or Director of Construction.

  • Ensure Lot Specific Blackline Drawings are used for Tier 1/Tier 2 appointments for Lot Specific plans (i.e.: Corner Upgrades).

  • Review Décor operations with V.P. of Sales and Marketing and with input from Director of Construction to ensure mutual goal of increasing sales and profitability.

  • Co-ordinate with Director of Construction and with trades to discuss pricing and new products. Input from VP of Sales and Marketing will be sought prior to introduction of New products or removal of existing product being offered.

  • Ensure all Decor Documents required are properly saved and administered in “Q Drive” and client Portal by Décor administrator.

  • Identify repeat custom price request items for possible creation of new Product Library codes with Director of Construction and/or Contracts Coordinator.

  • Attend and actively participate in multiple meetings, per project, with Construction & Contracts departments for project specific library product tagging and new product creation, where applicable.

  • Create DSM steps appointment scenarios, for each project, where a standard scenario does not apply. Conduct project specific review of DSM steps appointment scenarios with loaded/tagged products.

  • Coordinate with Director of Construction to prepare modified/upgraded shower layout sketches.

  • Coordinate with Director of Construction for “Project Readiness”, entailing but not limited to a comprehensive review of retail (“dummy lot testing”) pricing and general system testing. To be done in advance of all projects.

  • Coordinate with Director of Construction for a “Project Readiness Kick-off” meeting with greater Décor team and construction and contracts departments, to allow an open forum for consultants to ask questions, gain clarity on products.

CONSTRUCTION:

  • Oversee the Change Order/Colour Chart process to make certain that Trades and Site Staff are comfortable with all requests and that they understand what is being communicated by the Décor Store.

  • Communicate on a continual basis with the Director of Construction, Construction Manager and Site Superintendents to bridge the gap between the Décor and Construction processes as to minimize mistakes from occurring. Visit sites on an as needed basis.

  • Attend Trade Events to discover new product offerings.

  • Attend Construction meetings as required and/or invited

  • Coordination of new DÉCOR related files and site set-up: Forms, Floor Plans, necessary construction documents, layouts, and sketches.

  • Monitor and delegate updates to site’s on-line product library and DSM software, when applicable.

  • Coordinate with Director of Construction for “Product Knowledge Training Sessions”, with trades and industry professionals, as it applies to products being offered via Décor.

  • Ensure options requested by purchasers are in line with construction progress prior to approval,

  • Ensure all sketches, layouts etc. are clearly marked/labeled/dimensioned so construction can be delivered accurately.

  • Ensure all custom and framing changes including critical Tier 1’s is communicated in writing to Construction Manager and Project Manager.

PRICING & PROFIT REPORTING:

  • Preparation of monthly Décor Profitability Reports.

  • Audit price book created by Contracts to ensure proper pricing consistency and approved margins are intact.

  • Generate monthly analysis reports as well as other sales performance reports (training required)

  • Generate reports as to which items are selling well and which are not (training required)

HUMAN RESOURCES:

  • Hire Décor Staff with approval by the V.P. of Sales and Marketing and the President as required.

  • Train Décor Staff on Change Orders, Colour Chart process, paperwork and the general policies and procedures of the Store.

  • Arrange for regular training seminars with Trades/Suppliers to enhance product knowledge.

MODEL HOMES & SALES OFFICES:

  • Assist with concept, design (including Newstar input) and organization of Model Homes.

  • Distribute all Model Home Upgrade Lists to Sales & Décor as needed.

CUSTOMER SERVICE:

  • Approve all Décor Store communications prior to distribution to Clients.

  • Meet with Clients to resolve any conflicts pertaining to extras and/or colour charts.

  • Ensure that all Décor Staff meet the highest level of customer service demanded of them.

  • Active participant in academy initiatives prior to commencement of Décor Appointment process. Assist Sales and Marketing Team in facilitating and organizing the Academy.

GENERAL:

  • Any other duties when assigned by Management.

  • Mentor and train junior staff and décor hostesses as required.

Requirements:

  • Experience working with a Homebuilder in their Décor Center.

  • General knowledge of home finishes.

  • Good working knowledge of construction process.

  • Exceptional command of general business principles.

  • Good interpersonal skills.

  • More than sufficient computer skills (Excel, Word).

  • The ability to communicate efficiently and effectively.

  • Experience with Newstar Enterprise, Design Studio Manager and Sales Profiler preferred.
