Employment Opportunity: Chapel Music Administrative Assistant (Part-time Permanent Position)

Established in 1789, the University of King's College is Canada's oldest chartered university and is associated with Dalhousie University. The King’s Chapel Choir sings services in the Anglican tradition in the manner of Oxford and Cambridge Chapels. The Chapel Music area is also the administrative home of the King’s Chorus – the community choral society of King’s and Dalhousie.

The Chapel Music Administrative Assistant reports to the Director of Chapel Music, and works closely with the Chapel Administrator. The majority of responsibilities may be carried out remotely. The on-site workspace at King’s is shared with the Director of Chapel Music, and functions also as the choir library, and the choir robing space.

This is a part-time permanent position funded for up to 40 hours per calendar month with an average of 10 hours required per week. The appointee will have the ability to adjust the number of hours worked each week according to the schedules of the choirs and associated deadlines. In busier weeks during the Christmas and Easter seasons it may be necessary to work up to 20 hours.

Responsibilities:

  • Reception: day-to-day correspondence for Chapel Music, including email, telephone, and postal mail.
  • Document Preparation: music term cards; concert programmes; workshop handouts; and, as required, while working with the Chapel Administrator, service bulletins.
  • Finance: choir bookkeeping and invoice payment, including monthly invoices for paid singers (Section Lead/Lay Clerks).
  • Concert Administration: venue booking, contracting, insurance certificates, ticket sales, front of house management on concert days; SOCAN/Entandem reporting, HST submission, and other concert-specific matters that may arise.
  • Advertising and Promotion (Concerts and General): web site updates, poster creation and printing (using external designer where necessary), social media, poster distribution, and other communication routes as appropriate.
  • Tours and Outreach (Local and further afield): research and booking of transportation, insurance, accommodation, and meal arrangements, and other related matters.
  • Database: creating and maintaining a list of choir alumni, music donors, and volunteers willing to assist with the delivery of our events.
  • General: other matters relating to the King’s Chapel Music activities as they arise.

Skills and Experience (Required):

  • Minimum two years of related administrative experience, working in higher education and/or arts and culture.
  • Comfort and fluency with standard office software for document production, finance and record keeping, and correspondence including email lists (e.g. Mailchimp).
  • Understanding of, and affinity with, social media from an institutional perspective.
  • Familiarity with browser-based web site content management interfaces such as Squarespace and/or Wordpress.
  • Experience of event hosting, including registration and ticket sales.
  • Proven ability to prioritize tasks and manage time within a flexible work schedule.

Skills and Experience (Desirable):

  • Music-specific knowledge and experience.
  • Familiarity with Anglican worship.

The hourly rate for the position is $19 plus 4% vacation pay. There are no benefits associated with this position.
