**NOTE**
This position is required to report to and work from the physical work location at 659 Exeter Road, London, a minimum of three days per week. Current hybrid work arrangements are subject to change.

What can I expect to do in this role?

In this dynamic role, you will:
  • provide support and guidance to the branch director, management team and staff in administrative, financial and human resource policies and processes;
  • coordinate the branch director's daily schedule;
  • assist in the preparation and delivery of responses for various senior officials;
  • monitor and coordinate various materials and report discrepancies;
  • support the divisional issues management processes and coordinate the flow of information for the branch.


How do I qualify?

Administrative Knowledge:

  • you have knowledge of administrative support functions, including budget administration, human resources processes, collective agreements and legislation and operational planning;
  • you can use your knowledge to prepare reports, monitor expenditures and provide support on HR issues;
  • you can use tact and diplomacy to ensure effective relationships with staff of Executive Director's, Assistant Deputy's, Deputy Minister's and Minister's office.
  • manages and analyzes branch budget, monitoring in-year expenditures and identifying discrepancies
  • coordinates/incorporates information from all branch cost centres' and reconciles branch budget activity against IFIS
  • coordinates branch HR activities


Organizational and Analytical Skills:

  • you have organizational and coordination skills and can deal with changing priorities with short deadlines in a high pressure environment;
  • you can use analytical skills to analyze financial reports, determining trends and assist with issues management.


Communication and Interpersonal Skills:

  • you have strong communication and interpersonal skills in order to respond to inquiries and issues, prepare written responses and reports.


Other Essential Skills:

  • you are proficient with computer software to prepare reports, spreadsheets, presentations and use HR and financial information systems;
  • mathematical skills to prepare and manage branch budget, purchasing card and travel card transactions and other materials requiring calculations.
