Bruce County proudly operates two Long Term Care Homes— Gateway Haven located in Wiarton, Ontario and Brucelea Haven of Walkerton, Ontario. These homes provide quality services to the residents and their families.

The success of the operation of Bruce County's Long Term Care Homes is built on the foundation that this is a true 'home' for all its Residents. Location

Bruce County Administration Building - Walkerton, Ontario

Travel to both Long Term Care Homes may be required on occasion.

Salary

The salary range for this position is $53,654 to $63,188, based on a 35-hour work week.

About the job

Reporting directly to the Director, Long-Term Care and Senior Services, the Administrative Assistant will work closely with both the homes to provide a full range of administrative support. The successful candidate will have exceptional organizational and administrative skills and will be comfortable working in a fast paced and constantly changing environment. As a shared administrative support, the administrative assistant will be dynamic, proactive, and able to anticipate the needs of the leadership team.

Responsibilities

  • Perform clerical and administrative functions.
  • Coordinate and maintain documentation and file management using The Ontario Municipal Records Management System (TOMRMS) which includes paper and electronic documents.
  • Prepare draft reports, including typing, copying, binding, etc., in accordance with the Accessibility for Ontarians with Disabilities Act (AODA) standards.
  • Coordinate meetings including minute taking, agenda preparation, administration support and participation on interdepartmental working groups.
  • Prepare draft communications for internal and external partners.
  • Maintain and process invoices including coding as per budget specifications.
  • Maintain database such as Surge Learning, PointClickCare, Health Connex, Policy Stat and MOH/Health databases.
  • Organize meeting, training, and professional development days for the department.
  • Interact and collaborate with other inter-departmental administrative support staff.
  • Provide assistance to Administrators in the home with administrative tasks as needed.

Requirements

  • Two-year post-secondary diploma in Business or Office Administration
  • Two years of previous experience in a key administrative role
  • Knowledge and experience in community, retirement and long-term care sectors would be considered an asset
  • Knowledge of government and sector issues within long-term care an asset
  • Ability to understand and synthesize information related to the long-term care sector
  • Proficiency in Microsoft Office programs
  • Ability to effectively communicate (both written and verbal with internal and external stakeholders)
  • Ability to write moderately complex correspondence including memos, agendas and letters
  • Demonstrated time management skills
  • Ability to multi-task and organize/prioritize various ongoing projects
  • High flexibility with strong interpersonal skills that allow one to work effectively in a diverse and changing environment
  • High level of integrity and work ethic
  • Meticulous records maintenance skills
  • Customer service orientated, displaying confidence and exceptional social skills
  • Ability to deal with people sensitively, tactfully, diplomatically and professionally
