Position Description: Admin Assistant /Health & Safety

Reports to: Regional President

Basic Function: Working under the supervision of the Manager, the Health & Safety Admin’s primary duties are to implement and maintain the Health and Safety system. Other duties will be of general administrative and clerical services. The incumbent will be required to both take direction and work intuitively to support the completion of the department’s goals and objectives in a professionally and appropriate manner.

Principle Responsibilities:

1) Health & Safety Representative Duties:

a) Receive and address concerns and complaints about health and safety of workers

b) Participate in the identification of hazards to workers or other persons arising out of or in connection with activities in the workplace

c) Develop and promote measures to protect the health and safety of persons at the work place and checking the effectiveness of the measures

d) Cooperate with OHS officers performing their duties

e) Develop and promote programs for education and information concerning health and safety

f) Make recommendations to the employer, prime contractor or owner respecting the health and safety of workers

g) Participate in investigation of serious injuries and incidents at the workplace, maintain records in connection with the concerns and complaints, and attend to other matters relating to the duties of the HS Rep

h) Conduct internal audits, generate documents, inspection, job observations, policies & procedures, interviews with employees

i) Conduct monthly, site specific safety meetings as well as safety committee meetings, create and maintain minutes of meetings and ensure minutes are communicated

j) Responsible for continued compliance with IS Networld, Avetta and other 3rd party H&S management companies

k) Conduct annual evacuation drills, generate and maintain records of same

l) Other duties as specified by the Alberta Health & Safety Code

2) Administrative Duties ( As required):

a) Shipping & Receiving

i) Responsible for receiving service jobs into AIMs, job book and Ongoing job file.

ii) Responsible for verifying all equipment received through receiving inspection and photo’s

iii) Responsible for receiving vendor orders into AIMs

b) Invoicing

i) Invoice in-house jobs upon verification of costs

ii) Close in-house jobs and service jobs in AIMs once invoiced

c) Accounts Payable

i) Accounts payable invoice and data entry

ii) Maintain accurate and organized vendor files

d) Time Sheets

i) Input timesheets into AIMs after verified by Shop Manager

e) General Reception duties including answering phone calls and greeting guests

f) Opens and distributes mail to its intended recipient

g) Delivers mail to post office

h) Provides administrative and clerical support to the management, as requested

3) Other accountabilities

a) Check Admin Assistants work for correctness/completeness

b) Quote customer parts orders in lieu of Service Writer

c) Other duties as required.

Qualifications:

1. Administrative Assistant diploma or related diploma or degree.

2. Minimum of 3 years’ experience in a similar position

3. Completed Health & Safety Training requirements for Obtain and Maintain COR

Knowledge & Skills:

1. Ability to develop and provide leadership, guidance, motivation and vision to the management and staff

2. Must possess strong organization, evaluation, and problem-solving skills.

3. Must be able to communicate effectively in writing and verbally.

4. Working knowledge of Microsoft Office Suite.

5. Must be able to work flexible hours.

6. Must have a valid driver’s license and possess own vehicle.

Job Type: Full-time

Salary: $30.00-$35.00 per hour
