As an Administrative Assistant, you will be reporting to the Director of Partnerships and will be responsible for providing a high level of administrative and business support. You will be leading and coordinating clerical support for the business unit. You will also be responsible for filtering of information, policies and procedures throughout the business unit. Primary duties include:
  • Manage Director’s calendar, scheduling and prioritizing meetings, screening and distribution of incoming correspondence and inquiries to the Director Office.
  • Act as a resource to support Council or Committee reports and cross Corporate communications.
  • Create agendas and take minutes for the business unit and leadership team meetings.
  • Direct media, public and 311 inquiries to appropriate team members for action or response.
  • Business unit records management planning and coordination.
  • Provide assistance to business unit related support services including Finance, Human Resources, and Marketing.
  • Administrative duties to include corporate credit card statements, travel arrangements and digital file management.
Qualifications
  • A completed 1 year diploma or certificate in a related field and at least 5 years of related administrative experience is required.
  • Intermediate level of proficiency in Microsoft Office (Excel, Outlook, PowerPoint and Word) is required. Advanced level of proficiency will be considered as asset.
  • Handling confidential and sensitive information and a high level of trust is essential for this position.
  • Success in the position requires strong attention to detail, effective and pro-active problem solving skills, self-motivation and the ability to prioritize a high volume of work in a fast paced environment.
  • A strong team player with the ability to build collaborative working relationships.

Compensation: Pay Grade 7 $33.33 - 44.60 per hour (2023 Rates)
Days of Work: This position works a 5 day
work week with 1 day off in a 3 week cycle.


Hours of work: Standard 35 hour work week
