POSITION SUMMARY:
Under the general direction of the Manager, Budget & Financial Information, the Accounting Assistant—Finance maintains accounting responsibility for the general ledger, accounts receivable, accounts payable, GST, PST, cash receipts and purchasing system for the district. This position provides daily assistance, customer service, and a wide range of administrative and accounting support to schools, staff, parents, and vendors in a professional and courteous manner.

The Accounting Assistant—Finance works with the district sites ensuring accuracy in accounting practice. The job involves maintaining confidentiality in all matters related to the district and current, proficient knowledge of accounting and documentation practices, detailed procedures, policies and relevant provincial and federal legislation.

SPECIFIC ACCOUNTABILITIES:
Finance Budget and Procurement

Providing friendly, professional customer service and prompt finance assistance to district departments and schools, including (but not limited to) responding to emails or telephone inquiries in a timely manner and providing payment information to vendors.

Performing all regular daily and monthly accounting duties, including (but not limited to):

Verifying documents for accuracy and completeness before processing, ensuring the presence of supporting documents and expenses or invoices are submitted according to accounting practice and District policies and procedures;

Preparing, coding and entering information into the computerized accounting system;

Processing invoices for payment in a timely manner and preparing journal entries where needed; this includes (but not limited to) extracting data from District Invoices and manipulating this data to create a batch journal entry that expenses to the right cost center and GL code (ie. district purchasing cards, district telephones and cellular phones, etc.);

Administration

Typing a variety of routine internal and external correspondence; creating reports, accounting and financial statements.

Maintaining a variety of office records; this includes (but not limited to) filing and recording all source documents according to accounting practice and District policies and procedures.

Performing other duties as assigned by the Assistant Secretary Treasurer or designate.

QUALIFICATIONS, KNOWLEDGE, SKILLS AND ABILITIES:
Grade 12 diploma, or equivalent, supplemented by 1 year of business training that includes courses in Accounting I and II; computerized accounting, computerized applications (i.e. Excel, Word, Access, Outlook, etc.), file management and business communications. A minimum of 4 years of recent and related work experience is also required. A valid Class 5 BC Driver’s License. As well, incumbents also require the following:

Completion of Microsoft Office training and experience using internet and internet-based programs, with the ability to learn other software programs;

Proven ability to determine, judge and select appropriate courses of action in accordance with established policies and procedures;

Understanding and awareness of cultural diversity;

Proven ability to multi-task, prioritize, self-motivate, and meet deadlines;

Proven ability to communicate effectively both orally and in writing, and to provide service and relationship to the public and School District in a professional, respectful, positive and courteous manner;

Proven ability to establish and maintain positive, effective work relationships in a team environment at all times;

Proven ability to use tact and discretion and maintain confidentiality in matters pertaining to the School District;

Working knowledge of WHMIS and WorkSafe BC occupational health and safety regulations and the demonstrated ability to work in a manner that recognizes personal safety and the safety of others;

Ability to be flexible, adaptable and resilient to change;

Ability to explain complex or simple instructions or information clearly to others;

Considerable working knowledge of accounting practices and procedures, accounting terminology, bookkeeping and record keeping, with a proven ability to enter and provide highly accurate data entry with attention to detail;

Considerable working knowledge of managing spreadsheets and databases and the ability to work with multiple applications at the same time;

Current working knowledge of relevant District procedures and administrative policies, including the Freedom of Information and Personal Protection Act (FOIPPA);

Proven ability to work under pressure, in a fast-paced environment with constant interruptions.

Reconciling a variety of accounting functions, such as purchasing cards, student fees, budgetary items submitted through the cash purchase summary, subsidiary ledgers; making journal entries and maintaining routine accounts to trial balance;

Processing accounts receivable invoices and creating cheques or electronic fund transfers (EFT) for payment; preparing GST, gas tax and PST returns;

Maintaining accurate records of vendors, purchasing cards, reimbursement accounts, providing updates as requested;

Preparing for financial audits and providing all information when requested.

The current salary rate is $23.78 per hour plus a comprehensive benefit package including medical, dental and pension.
