Job Description
What you can expect in a typical day:
The Information Technology (IT) Supplier and Contract Management Specialist role coordinates and performs supplier relationship and management activities for selected Irving Oil strategic IT suppliers. You will find yourself working with Irving Oil stakeholders to define and monitor strategic priorities for suppliers. Your also responsible for managing suppliers’ interactions and the contracts to ensure KPIs are met, the contract is being adhered to, and that we get the greatest amount of value out of the relationship.

Your roles and responsibilities:
  • Engage with Irving Oil stakeholders to define priorities and key performance indicators for assigned IT suppliers. Manage supplier interactions to ensure KPIs and goals are met.
  • Develop and strengthen relationships with assigned suppliers and internal stakeholders and regularly communicate with respect to performance.
  • Organize contract and project kick off meetings and regular progress meetings for assigned suppliers and be accountable for ensuring action items are completed.
  • Regularly review supplier status such that the agreed performance metrics and contract requirements are met.
  • Review, interpret and analyze contract requirements and documents to ensure that the individual clauses/terms are applied appropriately and consistently.
  • Work with the team to interpret and review supplier’s submissions such as change requests, amendments, notices and other contractual correspondence to ensure compliance with contract terms and conditions; work with the project delivery teams and suppliers to resolve contractual inconsistencies, irregularities and other related issues.
  • Identify and advise on the resolution of a range of contract issues including supplier performance; enforce contractual obligations and conditions by engaging internal legal representation and providing assistance in negotiations and resolution of matters. Escalate complex, high profile issues/matters to management.
  • Monitor payment process assess back charges and other payment related matters.
  • Contribute expertise to advise on the design and implementation of supplier and contract management systems, standards and operational procedures, including recommendations to improve/adjust processes and procedures.
  • Liaise and work collaboratively with Irving Oil departments including, Capital Finance, Legal Counsel, and other internal and external stakeholders, as required.

Travel
  • Travel is not a requirement for this position.
Education and experience
  • Post-secondary education in a relevant field.
  • Supply Chain Management Professional (SCMP) or similar designation an asset.
  • 5+ years’ experience of supplier and/or contracts management experience.
  • Experience managing IT suppliers and contracts is an asset
  • IT Project Management experience is an asset
  • Proven experience developing and implementing supplier management programs is an asset.
  • Solid understanding of various legal and commercial terms and ability to rely on those terms.
  • Strong negotiation and dispute resolution skills.
  • Robust understanding of project execution.
  • Ability to raise awareness of contract activities that impact a project.
  • Good knowledge of MS Office: Word, Excel, PowerPoint.
