Reports to: Pre-Owned Sales Manager

Summary

The Pre-Owned Sales Administrator supports the Pre-Owned Sales Department in the One Price, One Touch model of selling cars. This role operates as a administrative specialist ensuring that the paperwork, purchases, licensing and reconditioning of the vehicle have been initiated or completed.

Duties and Responsibilities

  • Stock in all Pre-Owned vehicles in DMS and other systems once they have arrived on site. (Inventory Team will do the purchasing and the flooring of these vehicles).
  • Create sales file following specific guidelines, which is then passed back to PO Manager for pricing.
  • Transfer vehicle ownership into Pfaff Porsche’s name.
  • Tag all keys with proper key tags and pass to vehicle merchandiser for VCR to be completed
  • Submit internal PO request to have CPO/Safety inspections completed and detail arranged
  • Register vehicle in Porsche Finder with appropriate designation
  • Ensure that Retail Delivery Registration (RDR) takes place for each vehicle sold. This is registering the vehicle to the manufacturer.
  • Key tagging – this involves entering the keys for all vehicles into the system and onto the keyboard.
  • Manage the Garage Register for used vehicles.
  • Maintains complete knowledge of and complies with company and departmental policies, procedures and standards.
  • Maintains a positive working relationship with team members and management in a team environment.

Skills and Qualifications

  • Post-secondary degree/diploma is preferred, but not mandatory.
  • Minimum 2-year experience in a comparable role is required.
  • Experience dealing in a multi-company/location environment is required.
  • Experience working in a deadline driven environment (i.e. able to meet tight timelines during month end closing).
  • Ability to self-review their own work
  • Possess the ability to build strong relationships with GMs, Department Managers, Head Office Accounting Staff, Brand Specialists, Business Managers and external vendors.
  • Detail oriented, organized, efficient and able to manage a large amount of paperwork.
  • Excellent interpersonal and customer service skills.
  • Must be able to communicate in verbal and written English.
  • Strong aptitude for numbers and strong analytical skills.
  • Ability to work efficiently and effectively under pressure with simultaneous deadlines.
  • Ability to maintain confidentiality of pertinent data.
  • Proficiency with CDK and/or Reynolds & Reynolds (or other DMS) is preferred but not mandatory.
  • Intermediate level Excel knowledge is required.
