Whitehorse, the capital city at approximately 33,000 people, is large enough community that has the creature comforts of a city but small enough to be a large part of the community if you so choose (ie walk down the street and get honked at by people you know driving by or be a part of one of the over 600 non-profit organizations up here). JOB OVERVIEW

If this is you then we urge you to apply for the position of Real Estate Administration Assistant with Northern Vision Development!

The Real Estate Administration Assistant position is an integral part of the Real Estate division and is responsible for the day-to-day management of tenant relations and provides services to NVD’s diverse range of tenants, clients, and contractors.

Responsibilities

  • Filters out tenant’s requests, issues or complaints and either resolves them directly or refers the complaint to manager and/or team members as appropriate;
  • Drafts residential and commercial real estate leases and other related documents;
  • Provides notice to tenants, owners and suppliers;
  • Assists in getting quotes from contractors or suppliers;
  • Assists Real Estate team with property inspections;
  • Takes pictures of buildings/units and creating flat sheet for advertising;
  • Maintains and manages all keys and electronic fobs including sign-out/sign-in, reprogramming, creating, and documenting all security touch points;
  • Maintains and ensures accuracy of the door programming at NVD properties;
  • Documents move-in & move-out reports;
  • Gathers/Draws/Maintains floor plans for all properties;
  • Assists Real Estate team in preparing Board Meeting Packages and attends Board Meetings, takes and files minutes at meetings;
  • Collects and files up-to-date documents from all existing Tenants;
  • Creates letters, documents and reports;
  • Assists in organizing meetings and events;
  • Files various office documents; including managing, developing and implementing filing standards;
  • Responsible for organization and maintenance of filing system
  • Assist Real Estate Team with Financial Reporting
  • Assist Director of Maintenance with regular labor billings
  • Regular Keep of Lease Summaries for all Commercial and Residential Properties
  • Daily/Weekly trips to properties to ensure any items to be attended are reported in timely manner
  • Other duties as assigned.

KNOWLEDGE AND SKILLS REQUIRED

Education

  • Bachelor’s degree or relevant experience required.
  • Specialization in business and/or real estate is an asset.

Qualifications

  • Ability to interact with a broad range of personalities;
  • Ability to collect, analyze and summarize information;
  • Attention to details;
  • Ability to work independently as well as in a group environment;
  • Ability to prioritize workload and adjust to shifting priorities;
  • Strong work ethic, respectful and reliable;
  • Proficient skills in Word, Excel, PowerPoint and Outlook;
  • Excellent written, oral, listening and communication skills;
  • Valid driver’s license.
