Position Summary: The Proposal Project Administrator will assume a broad role with significant customer focus that will include overall coordination of our proposal writing team. Working cross functionally with operational, marketing, and tech, the successful candidate will have excellent organizational skills and a proven ability to multi-task in order to execute highly complex and sensitive assignments.

  • Location & Requirements: This opportunity is structured as a hybrid-remote position, including on-site work and travel as needed, as well as remote, work-from-home functions. The successful candidate must possess a valid Ontario G driver’s licence and access to a reliable vehicle in order to perform essential functions that require travel to urban and rural communities when needed. The hybrid-remote schedule is based on operational needs of the company.

Primary Duties and Responsibilities:

  • Coordinates and directly contributes to all aspects of bid processes, including analysing requirements and developing drafts of Requests for Information (RFIs), Requests for Qualifications (RFQs), and Calls for Proposals (CFPs).
  • Owns the daily management function of the proposal writing team, including the development of all required materials.
  • Schedules and conducts reviews of workflows, ensuring that team assignments remain on-track and are completed by required deadlines.
  • Organizes required discussions and meetings, and tracks completion of team assignments.
  • Conducts competitive intelligence research to support project goals.
  • Conducts a variety of evidence-based research using own initiative.
  • Manages the timely submission of all deliverables.

Experience and Qualifications Required:

  • Post-secondary degree in business or a related field that is relevant to the scope of the position is highly preferred, or an equivalent combination of education and experience is required.
  • A minimum of 2 years’ professional experience in a similar capacity that is directly transferrable to the scope of this opportunity.
  • Solid technical, business, and project management knowledge.
  • Prior experience with successfully responding to RFQs and CFPs, working directly within a bid team environment.
  • Experience with or knowledge of government procurement within the scope of CFPs for funding in employability, skills development, education and/or social services.
  • Excellent verbal and written English communication skills.
  • Strong analytical, organizational and time management skills.
  • Proven ability to take initiative and be resourceful.
  • Collaborative work style with high motivation and drive to be successful.
  • Stellar internal and external relationship building skills.
  • Strong degree of integrity and sound judgment.
  • Willing to take ownership for the outcomes of projects within scope of responsibility.
  • Bilingualism in French is an asset.
  • Demonstrated understanding of the value of diversity, equity and inclusion, with a professional and courteous approach to stakeholders that are comprised of a diverse population.
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel), Zoom, and Outlook applications. Must possess aptitude and willingness to learn and work with new online systems and technologies.
